Job Overview:
We are looking for a detail-oriented and personable Office Coordinator to support our client with the day-to-day operations of a dynamic office. The ideal candidate will be the first point of contact for visitors and assist with administrative tasks to ensure smooth operations. Key Responsibilities:
- Welcome and assist visitors, creating a positive experience for all office guests.
- Manage incoming phone calls and direct them to the appropriate team members.
- Coordinate and assist with client meetings, including setup and cleanup for events such as breakfasts, lunches, and happy hours.
- Prepare and print materials for presentations and meetings.
- Organize vendor updates and ensure accurate communication with internal teams.
- Help organize team events, including lunch-and-learn sessions.
- Maintain a clean and organized office environment, ensuring common areas like the kitchen and supply rooms are well-stocked and presentable.
- Assist with mail distribution, courier services, and basic accounting tasks such as scanning and depositing checks.
- Provide administrative support to leadership, including scheduling travel and preparing expense reports.
- Record meeting minutes and distribute them as needed.
Qualifications:
- 1-2 years of experience in an office coordinator, receptionist, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication and customer service skills.
- Highly organized, reliable, and able to manage multiple tasks with attention to detail.
- A positive attitude and eagerness to work in a team-oriented environment.
