Our client, a leading provider of HVAC, electrical, solar, and plumbing services in Southeastern Wisconsin, is seeking an Office Coordinator for their Madison, WI location. With over 35 years of experience, this family-owned business is known for its commitment to top-quality service and customer satisfaction.

In this role, the Office Coordinator will assist the sales team by providing customer education, managing the office, scheduling appointments, and offering support with heating/AC services. As the Key Holder for this location, you'll play a vital role in daily operations, taking charge of opening and closing the office, assisting customers, and overseeing scheduling. This position offers the opportunity to work independently while making a significant impact. With a consistent Monday-Friday 1st shift schedule, this direct placement role offers competitive pay, providing both stability and growth opportunities.

Job Duties:

  • Serve as Key Holder, responsible for opening and closing the office.
  • Manage the front desk and create a welcoming environment for customers.
  • Answer phone calls and assist with customer inquiries.
  • Schedule appointments for heating, cooling, HVAC, plumbing, electrical, and solar services.
  • Use Service Titan to schedule appointments, manage financials, and track job costing.
  • Manage filing, reporting, and financial duties using QuickBooks for job costing and batching.
  • Manage the office and ensure smooth day-to-day operations.
  • Familiarize with the company's mission to communicate effectively with customers.
  • Prioritize tasks in a fast-paced environment while maintaining excellent customer service.
  • Build rapport with customers and maintain a positive brand image.

Qualifications:

  • 2-5 years of experience in Customer service and Administrative roles.
  • HVAC Industry experience preferred but not required.
  • Familiarity with QuickBooks for job costing and batching preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) required.
  • Knowledge of Service Titan preferred, but training will be provided.
  • Strong organizational and multitasking skills.
  • Friendly and adaptable with excellent communication skills.
  • Ability to lift and carry up to 50 lbs.
  • Must be able to work 45 hours per week.
  • May require some local travel.
