This dual-role position will be pivotal in ensuring the smooth operation of our corporate headquarters while providing critical support to our executive leadership team.Knowledge, Skill, and Experience Required: Work Experience:
  • A minimum of 5 years of combined experience in office management, executive support, or a similar administrative role.
  • Prior experience working in a corporate or manufacturing environment is a plus.
Technical Proficiency:
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting tools (e.g., Zoom, Teams).
  • Experience using office management systems or tools, such as expense tracking, scheduling software, or CRM platforms.
  • Familiarity with budgeting and procurement processes to manage office resources effectively.
Organizational and Time Management Skills:
  • Exceptional ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.
  • Strong attention to detail, ensuring accuracy and thoroughness in all tasks.
  • Capacity to anticipate needs and proactively solve problems without supervision.
Communication and Interpersonal Skills:
  • Excellent written and verbal communication skills, with the ability to craft professional correspondence and presentations.
  • Strong interpersonal skills to effectively collaborate with team members, vendors, and stakeholders at all levels.

Required Education:
  • Bachelor's degree in business administration, office management, or a related field preferred, but not required. Equivalent work experience will be considered.
Key Responsibilities:Office Management:
  • Manage day-to-day operations of the corporate office, ensuring a professional and organized workspace.
  • Maintain office supplies inventory and oversee purchasing, ensuring cost-effectiveness and timely replenishment.
  • Serve as the primary point of contact for office vendors and service providers, negotiating contracts and managing relationships.
  • Coordinate office maintenance and improvements, working with facility staff and external contractors as needed.
  • Organize and oversee internal office events, team meetings, and celebrations to foster a positive and engaging workplace culture.
  • Implement and maintain office policies and procedures to ensure compliance and efficiency
Administrative Excellence:
  • Manage incoming and outgoing mail, including shipping logistics for documents and packages.
  • Ensure the accuracy and timeliness of filing, record-keeping, and documentation systems.
  • Handle ad hoc administrative tasks, such as organizing company files, drafting internal communications, and managing special projects as assigned.
  • Continuously look for opportunities to improve administrative processes and support company-wide efficiency initiatives.
Executive Support:
  • Provide comprehensive support to the executive team, managing schedules, prioritizing appointments, and ensuring seamless calendar coordination.
  • Organize and prepare materials for executive meetings, including agendas, presentations, and reports.
  • Coordinate complex travel arrangements, including flights, accommodations, and itineraries, while managing expense reports for executives.
  • Act as the gatekeeper for executive communications, filtering inquiries and managing correspondence on behalf of leadership.
  • Support strategic initiatives by conducting research, compiling data, and preparing executive summaries.
  • Serve as a trusted liaison between executives and internal/external stakeholders, maintaining confidentiality and professionalism.
Essential Physical Abilities:The following essential functions may be performed with or without reasonable accommodation: Ability to sit at an office desk with sufficient vision and physical dexterity to use PC desk top system for up to eight hours. Ability and experience in use of standard functions of 10 key calculators and other office equipment (fax, printer, scanner, copier, smart phone, etc.).   • Competitive Wages, range $80,000-$95,000 per year
