We are proud to have a stable of legendary brands such as Aston Martin, Land Rover, Jaguar, Hyundai, Genesis, and Cadillac.We are seeking a dynamic and highly organized Office Manager and Executive Assistant to top executives. This role is a hybrid of administrative support and office management, requiring a proactive individual with exceptional attention to detail and a strong sense of urgency and professionalism. Compensation: $75,000-$90,000/yearResponsibilities:
  • Order and maintain inventory of office supplies, ensuring that all necessary materials are stocked and available.
  • Organize, help prioritize, and respond to emails, calls, and take notes in meetings.
  • Perform clerical and administrative tasks such as printing, copying, scanning & filing.
  • Assist top executive(s) with scheduling and managing his calendar, ensuring all appointments and meetings are coordinated seamlessly.
  • Answer and screen calls, relay messages accordingly.
  • Prepare, format, and finalize a wide variety of documents with a high level of proficiency and detail (memos, reports, transaction docs, notices and other materials).
  • Arrange travel plans, including flights, hotels, transportation, and itineraries for both business and personal trips.
  • Identify opportunities to streamline office processes and improve operational efficiency. Implement systems to support better workflow, organization, and productivity.
  • Assist with personal tasks for executive(s) such as errands, etc.
  • Performs additional duties as assigned by executive(s).
Requirements:
  • Proven experience as an office manager, executive assistant, or in a similar role.
  • Strong organizational and multitasking skills with the ability to prioritize and meet deadlines.
  • Exceptional attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong communication skills and ability to interact professionally with staff and external vendors.
  • Proficiency in office management software, calendar tools (e.g., Google Calendar, Outlook), and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to work independently and as part of a team in a fast-paced environment.
