Position Summary:
The Office Manager contributes to company success by conserving everyone's time and enhancing the office's overall effectiveness through their efforts. This includes providing administrative support, assisting in special projects for LEO & The Historic (venue), organizing schedules/calendars, keeping supplies stocked, making travel arrangements, handling general accounting duties, and preparing documents. This role must be keenly aware of company operations and executive team needs and assists in ensuring that day-to-day operations are running smoothly and that company objectives are being met.
This position is based out of our Chattanooga, TN office. This position is required to work from the Chattanooga LEO office 5 days/week and is ineligible for full-time remote work.
Job Responsibilities:
Answer all incoming calls and ensure that someone is assigned to answer phones when unavailable
Welcome guests and clients by greeting them, in person or on the telephone, and answer or direct inquiries
Vendor & Tenant Management
o Ensure housekeeping vendors are scheduled regularly
o Ensure maintenance vendors are scheduled as needed (exterior landscaping, fire extinguisher, office equipment, etc.)
o Serve as main point of contact for building tenants
o Responsibilities for building management as assigned
Coordinate company vehicle(s)
- Maintain service of company vehicle(s) as needed
- Keep track of local memberships (Chamber, CVB), local marketing efforts, and special projects, as assigned
Manage and maintain weekly office staff calendar, including booking Chattanooga conference room for weekly meetings, virtual meetings, etc.
Assist with coordinating internal events that are held at the Chattanooga office
Process expense reports and general accounting duties as directed
Coordinate travel arrangements for inbound visitors, including airfare, hotel, and car rental as needed
- Assist with Chattanooga-based (and regional) events for local corporate clients as a Production or Operations Coordinator
o Types of duties include:
Onsite event support (event operations & logistics, LEO team support, client-facing)
Pre-production event support (shipping and receiving, assisting with pick lists for warehouse,
research, scheduling PT staff, other duties as assigned)
Maintain office, kitchen, bar, and hospitality supplies and inventories. Source and manage all internal office lunches, happy hours and hospitality needs
Run office-related errands as needed
The Historic Venue Assistance:
Create mailing labels for previous clients' deposit checks
Compile data from contracts and invoices for venue manager
Follow up with past clients as instructed by venue manager
Assist onsite with tours, walkthroughs, and occasionally weddings/events as needed
Qualifications:
College degree preferred
Hospitality, tourism, or convention services/event sales experience preferred
Knowledge of basic accounting skills, executive-level coordination, and expense reconciliation management

Able to work nights/weekends as needed

Environmental Conditions and Physical Demands:
Employee required to spend a portion of time remaining in a seated position looking at a computer screen. Employee required to do some standing and walking. Must be able to lift 25 lbs.
