Job Description Office Manager for a 5-member adult gastroenterology Office Practice. The Office Manager is responsible for the day-to-day administrative operations, front and back operations, building management, patient relations and escalations, staff management, coordinating staff schedules, staff training, provide basic HR duties including but not limited to hiring decisions, basic disciplinary actions, and terminations with HR support, following company policies. The Office Manager is expected to maintain a professional and safe work environment for patients and staff with the primary goal of high-quality gastroenterology care and exceptional customer care experience. The Office Manager is expected to collaborate with nurses, doctors, executives, and all administrative staff. Other duties as assigned. Accountability The Office Manager reports directly to the Managing Partner of the division. Interaction with other departments in the company, such as HR or Payroll, will be common. Job Responsibilities
- Maintain and update office policies and procedures
- Comply and reinforce OSHA/CDC and company healthcare compliance
- Maintain, order, and invoice medical and office supplies
- Employee relations: staff training, cross training, staff meetings, employee reviews, address basic employee performance/behavior concerns, including hiring and termination procedures. Approve payroll, submit mileage/toll/miscellaneous reimbursement. Approving time off and vacations,
- Day to day operations: maintain and update provider schedules, staffing schedules
- Administrative duties: Organize and maintain administrative records, banking, bill pay, practice clinical & administrative inventory.
- Patient Related: Manage patient inquiries and complaints
- Billing: data entry and processing
- As needed: monthly collections, marketing properties, property maintenance.
- Practice & Building: Regulatory compliance, records,
- Safety Officer property inspections to ensure compliance, schedule maintenance and repairs as needed.
- Bookkeeping: Bank deposits, uploading invoices to bill.com, mail payments, etc.
- Hospital credentialing
- Path lab management
- Interaction with vendors, IT support and surgical centers
- Other duties as assigned.

- Maintain medical records
- Appointment scheduling
Requirements Mandatory Qualifications • 2-3 years' experience as an office manager in medical setting • Experience with EPIC EMR • Experience with hiring and firing Preferred Qualifications • Microsoft Office, including Excel • Paylocity or other payroll software experience • Digital phone system experience • Troubleshooting office computers and equipment Physical Requirements • Ability to sit for extended periods • Fill in tasks when staff absent • Able to lift 20-30 lbs (medical and office supplies) Requirements • Full understanding of the day-to-day practice operations • Full understanding of administrative duties related to practice management • Full understanding of CA Dir Breaks, Meal Breaks, Overtime, and Retaliation • Full Understanding of CA minimum wage requirements • Full understanding of BASS Employee Handbook Policies and Procedures. • Full understanding of BASS Supervisor Guide, practice responsibilities. • Full understanding of BASS Supervisor Compliance Guide, practice responsibilities. • Full understanding of BASS OSHA Safety Officer requirements and practice/facility compliance guidelines.
