JOB REQUIREMENTS: ESSENTIAL DUTIES AND RESPONSIBILITIES: Includes the following and other duties as assigned: General Responsibilities Coordinates logistical and staff support for Board and other meetings Distributes agendas to the media to meet the open meeting law requirement Prepares minutes for organization meetings Maintains the WDB, CEO and committee meetings filing system Schedules and reserves rooms/Zoom call links for all WDB, CEO, and committee meetings. Updates the official WDB, CEO and OSO membership rosters Manages and sends out DocuSign documents Ensures the legal notices are posted in the newspapers for the RFPs and the WIOA Plan hearing. Updates the RFP list and sends out RFP notices Ensures a positive, helpful environment for visitors and guests Develops efficient office operations and procedures, coordinates correspondence, and designs filing and record/document retention systems Negotiates the purchase of office supplies and furniture, office equipment, etc., in accordance with company purchasing policies and budgetary restrictions Coordinates the maintenance and alteration of office areas and equipment, as well as layout, lease, and housekeeping of office facilities Prepares general correspondence, reports, and documents, as requested Contributes to team effort by accomplishing related results, as needed Performs general office duties such as filing, making binders, answering and transferring incoming phone calls, and record keeping Fiscal Responsibilities Maintains and refines PAS, including collecting, tracking, reservations, authorizations, and expenditures Sends out checks and files the cancelled checks Receives and records all check and cash payments Develops and maintains all online payment systems Other Responsibilities Maintains and updates NCWWDB website Creates forms, charts, posters, brochures, and PowerPoint presentations, as needed Maintains the weekly counts for the Job Center surveys Tracks all Department of Labor notices Collates the Job Center Customer Satisfaction surveys, workshop evaluations, and attendance Maintains the database for the Employability Skills Certificate Assists with posting of job openings and copying resumes OTHER EXPERIENCE AND QUALIFICATIONS: QUALIFICATION REQUIREMENTS: The requirements listed below are representative of the knowledge and skills required.
