Job Description :
The Office Manager is responsible for a variety of administrative functions, such as Accounts Receivable and Accounts Payable (AR/AP), and month-end financial data. This role also provides general administrative support, legal filings, and reporting and maintaining confidential personnel records. The Office Manager will be also be responsible for learning new software programs and sharing that knowledge with other employees as required.
  • Ensures administrative staff timely invoices for all permanent and one-time jobs.
  • Communicates clearly and professionally with customers and vendors regarding any invoice issues and discrepancies.
  • Reviews and approves all vendor invoices to ensure proper purchasing and approval procedures were followed; maintain all vendor files.
  • Responsible for general administrative functions of the operation.
  • Serves as a go-to for general office inquires.
  • Ensures accuracy is met with calculating and reporting on monthly revenue reports and Port Authority rent calculation providing appropriate backup.
  • Maintains records management in an efficient and confidential manner.
  • Be aware of surroundings to maintain a safe and injury free work environment.
  • Responsible for special tasks requested by Management.
  • Provides training, and support as needed for staff.
  • Other duties as assigned.
  • High School diploma required. Degree preferred.
  • Strong PC skills including proficiency in Excel.
  • Strong computer software knowledge and easily adaptable to learn and apply new programs.
  • Strong work ethic and team player.
  • High degree of professionalism and positive energy.
  • Ability to deal sensitively with confidential material.
  • Strong interpersonal (verbal and written) communication skills.
  • Ability to communicate with various levels of management.
  • Decision-making, problem-solving, and analytical skills.
  • Organizational, multi-tasking, and prioritizing skills.
  • Must be able to work under weekly, monthly, quarterly, and yearly deadline pressures related to inventory control and financial reporting.
  • Ability to occasionally travel for training purposes.
Work Environment
  • Required job duties are normally performed in a climate-controlled office environment.
  • Exposure to computer screens.
  • The noise level in the work environment is usually moderate.
  • Airplane travel for company provided training is usually occasional.
