Are you an organized and outgoing administrator who is looking to your next role? Tauber Oil is looking for an Office Manager or Executive Assistant to oversee office operations and provide administrative support to our President and Executive Vice President. In office hours are Monday - Thursday 7:30 AM to 4:00 PM, Fridays WFH unless a one-off need to come in arises. We are across the street from Spott's Park on the Allen Parkway running trail, and from HEB.

Leadership Support:

Be the right hand to the President and Executive Vice President—keeping them in the loop with all their commitments and responsibilities.

Keep things running smoothly with a variety of tasks like coordinating complex travel plans, completing expense reports and drafting confidential correspondence.

Manage schedule and calalders

Foster a collaborative, productive vibe where everyone can thrive.

Office Administration:

Make sure everyone from new hires to seasoned team members have what they need to thrive.

Be the go-to person for keeping the holiday calendar in check and ensuring the company truck is in tip-top shape.

Make sure the office stays stocked with branded merchandise and corporate materials.

Help new hires feel right at home by providing garage access keys and reserved parking.

Manage incoming mail and deliveries.

Keep the team fueled with delicious weekly Monday breakfasts and the occasional luncheon!

Events:

Event planning for everything from our legendary holiday party (900+ guests!) to the annual crawfish boil (600+ guests!), Tauber Feast (Service Awards), and all sorts of other fun activities that pop up.

Be the keeper of the corporate database for invites, meeting materials, and presentations. Plus, help pick out thoughtful gifts for the executives to share with key partners.

Facilities:

Be the mastermind behind the office's daily operations, from making sure the supplies are fully stocked to ensuring the equipment is ready for action.

Work closely with building management to coordinate repairs, maintenance, and even the occasional office remodel.

Keep the office stocked with essentials like coffee, paper goods, and business cards.

Take charge of fire safety procedures and ensure office Fire Wardens are always on point.

Skills Required:

Excellent written and verbal communication skills.

The ability to juggle multiple projects with ease.

Tech-savvy and ready to learn the latest office tools and software.

A flexible team player who thrives in the face of challenges and change.

Maintains the highest level of confidentiality with company and employee info.

Qualifications:

Four or more years in an administrative role, preferably with experience supporting top-tier executives and organizing events.
