Position Summary: Under the supervision of the Community School Director, the Office Manager is responsible for the Whitney Young Jr. fiscal, business, and system operations. This includes creating and maintaining staff files and client records within agency and contractual requirements, as well as coordinating the daily operations of events and all fiscal, budgetary, and business operations. Additionally, the Office Manager supports the director in the management of the Whitney Young Jr. Campus programs and services, which involves planning, organizing, directing, coordinating, and implementing the agency's mission, goals, objectives, and policies.
Key Responsibilities:
Monitor and ensure compliance of fiscal and business operations with agency policies and funding regulations.Oversee coordination of all events, including scheduling, planning, setup, and breakdown.Perform accounting and bookkeeping duties to maintain and track the current fiscal year's budget and develop budgets for the upcoming fiscal years.Maintain an effective record-keeping system and process all bills for payment.Manage petty cash, P-Card, and metro card accounts for the Whitney Young Jr. Site.Create and maintain up-to-date confidential employee files for all staff.Complete Personnel Action Notices (PANs), salary allocation forms, and time & leave for staff.Authorize payroll rosters, timesheets, and collection reports, and deposit collections to the bank.Create requisitions and employee/vendor advances in the employee portal.Assist in handling donations to Children's Aid and distribute items to programs.Attend agency staff meetings, training sessions, seminars, and institutes as required.Run errands as needed on program grounds.Generate reports and meet with the Community School Director and Assistant Program Director to analyze data regularly.Manage and maintain a schedule for all program staff to ensure proper coverage and adequate office hours.Assist with onboarding summer youth employment and interview candidates for summer staff positions.Serve as site liaison with the agency main office in areas such as fiscal, HR, and payroll.Maintain accurate OTPS budget records, purchase order requisitions, and process vendor invoices.Ensure upkeep of office equipment and furniture.Prepare agendas, attendance sheets, and record and disseminate minutes of meetings.Administer internal audits for employment program files in preparation for yearly City and State audits.Perform all other related functions as necessary or assigned.Qualifications:
- High School Diploma required
- Associate's degree in business administration/office management preferred
- Proficient in Microsoft Office 365
- Familiarity with OTPS and payroll systems
- Strong writing skills are a must
- 1-2 years of relevant office management experience
- Ability to organize work and handle detailed projects
