Job Description

The Office Manager position at BlueFlame AI is a dynamic and essential role that empowers individuals to manage a diverse set of office operations and administrative responsibilities. This position requires collaboration across numerous teams and systems to ensure the smooth functioning of our New York office. The ideal candidate will be organized, energetic, and comfortable working in a fast-paced startup environment.

Responsibilities

Office Management & Administration:

  • Oversee daily office operations to ensure efficiency and productivity
  • Maintain office supplies inventory and place orders as necessary
  • Coordinate with building management and vendors for office maintenance and repairs
  • Implement and maintain office policies and procedures.

Scheduling & Coordination:

  • Schedule and manage meetings, interviews, and appointments for team members
  • Coordinate ordering and logistics for company events and meetings
  • Assist in the preparation of meeting materials and presentations

Onboarding & Employee Support:

  • Facilitate the onboarding of new hires, ensuring a smooth transition into the company
  • Prepare and distribute onboarding materials and welcome packages
  • Serve as a point of contact for new employees, addressing any questions or concerns

Technology & Systems:

  • Stay up-to-date with basic office technology and software to support team operations
  • Troubleshoot minor technical issues and coordinate with IT support as needed

Collaboration & Process Improvement:

  • Engage with various teams to improve processes and streamline workflows
  • Work with others to address internal issues and enhance office efficiency

Qualifications

• Proven experience as an Office Manager or in a similar administrative role

• Strong organizational and multitasking skills in a fast-paced environment

• Proficiency in Microsoft Office Suite and basic office technology

• Excellent communication and interpersonal skills

• Organizational skills, high-energy, and enthusiasm for working in a startup environment

Pay range and compensation package

The expected base salary for this position ranges from $55,000 to $75,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, and education. In addition to a base salary and competitive benefits package, successful candidates will be eligible to receive a discretionary bonus.
