This recruitment will be used to fill one full-time Office Specialist 2 position for the Division of Extension and Engagement's Extension Malheur County Office with Oregon State University (OSU).
This Office Specialist 2 position is based at the Oregon State University Division of Extension and Engagement's (division) Extension Service office in Malheur County, Oregon. This position is located in Ontario, Oregon.
The Office Specialist 2 (OS) provides administrative and general office support to Extension faculty and staff in Malheur County. This OS performs a wide range of office support, technical, and/or administrative or business-related tasks in support of Extension programming and services to residents of Malheur County. These support duties are performed independently and often involve the completion of varied and unrelated assignments or technical functions over which the employee has exclusive or near-exclusive control. This support includes providing excellent and empathetic customer service while engaging in culturally appropriate and inclusive communication.
This individual assists the program faculty and staff with ensuring that educational programming and outreach activities serve broad and diverse populations in an accessible, inclusive, equitable, and socially just manner. This individual also serves as the local contact for the Extension's civil rights program, which includes working with the Regional Director and the division's civil rights Director.

Key Responsibilities
35% Office Support
* Design and develop a wide variety of documents (e.g., emails, reports, memos, news releases and newsletters).
* Ensure communication and marketing initiatives are consistent, inclusive, and accurate in presentation.
* Input and keep data current for mailing lists in database programs.
* Photocopy documents, organize and maintain filing systems.
* Update content on county web pages.
* Handle shipping and postage needs. Ability to travel/driving is required.
* Work with faculty, staff, and volunteers to develop engaging and inclusive content for use across social media platforms. Assist with developing social media ad campaigns to promote programs. Coordinate with faculty and staff to align website and social media content.
20% Information and Assistance
* Receive, route, and respond to inquiries from the public.
* Greet the public, providing a welcoming and inclusive customer experience, and direct individuals to appropriate Extension faculty as necessary.
* Provide excellent and empathetic customer service while engaging in culturally appropriate and inclusive communication for all.
* Provide information about services and education materials/publications available through the OSU Extension Malheur County Office.
20% General Publication Support
* Develop, design, prepare, and proof newsletters, flyers, meeting announcements and brochures.
* Follow OSU and division brand guidelines, digital publishing standards and digital contact management data integrity practices for programmatic communications, marketing and engagement.
* Distribute newsletters and meeting notices to public/stakeholders via mailing lists.
* Attend training opportunities to build basic knowledge and consistent skills to use digital communications, marketing and engagement technologies relevant to position duties.
20% Business and Administrative Functions
* Identify, order, and review supply needs.
* Assist the Regional Director with budget preparation and analysis.
* Input information for invoice and travel payments utilizing the OSU financial systems.
* Process reimbursements through the county system for the tax service district funding.
* Collect funds for services and materials such as registration fees and sale of publications; record and maintain a record of all transactions.
* Deposit funds at OSU designated bank. Travel/driving is required.
5% Other
* Perform other duties as assigned.
* Assist the Regional Director with ensuring a safe, welcoming, and respectful environment for all employees, constituents and clients.
* Assist the Regional Director with onboarding, as requested.
* Complete the division's civil rights training session(s).
* Assist Regional Director with civil rights obligations such as collecting data and documents for internal reviews, and ensuring program marketing materials include reasonable accommodations information.
What We Require
Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR An Associate's degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver's license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

Working Conditions / Work Schedule
