Job DescriptionPosition Summary:The Office Supervisor will be responsible for overseeing the daily operations of the Specialty Office,Referral Entry Department, Medical Records, and some Call Center responsibility in Clinics.Essential Duties and Responsibilities include the following:-Maintain appropriate staffing levels at all times and verify all office staff overtime hours.- Coordinate/approve staff requests for time off per company guidelines.-Responsible for training of office personnel on office procedures and workflow.-Responsible for auditing the work and responsibilities of office personnel includingadministrative overview of physicians and physician assistants.-Monitor patient waiting times and use of Urgent Care and report problems/trends tosupervisor.-Ensure efficient medical records process, with emphasis on EMR processes and compliance.-Responsible for weekly phone reports.-Complete bi-weekly payroll process-Ensure appropriate inventory of medical supplies are on hand at all times.-Order and verify receipt of office supplies per office guidelines.-Responsible for staff performance reviews and counseling per company guidelines.-Maintain an awareness of changes in policies, procedures and protocol.-Maintain a cooperative relationship with patients, staff and any other individuals.-Maintain a high level of professionalism at all times and promote the importance of customerservice.-Handle complaints of patients and maintain an office complaint log or copies of writtencomplaint.-Comply with office confidentiality, safety, infection control and exposure control policies.-Ensure that office is kept clean, organized and safe.-Demonstrate effective communication skills by conveying necessary information.-Display a professional attitude through performance, appearance and demeanor.-Maintain neat, legible and organized written records.-Act as back-up support as needed within the departments.-Demonstrate good judgment in handling situations not covered by written or verbalinstructions.-Recognize and resolve problems, troubleshoot malfunctions in equipment or treatment-procedures and use alternate methods if available.-Uphold and support the philosophy, objectives and policies of LMO.-Assist patients without bias or prejudice.-Attend meetings as required.-Work collaboratively with other leadership to provide cross-training and cross-coveragebetween departments.-All other duties as directed by management.Supervisory ResponsibilitiesResponsible for the overall direction, coordination, and evaluation of these units. Directlysupervises non-supervisory employees. Carries out supervisory responsibilities in accordance withthe organization's policies and applicable laws. Responsibilities include interviewing, hiring, andtraining employees; planning, assigning, and directing work; appraising performance; rewardingand disciplining employees; addressing complaints and resolving problems.The pay range for this position at commencement of employment is expected to be $70,304.00 / year. however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, licensure, skills, and experience. The total compensation package for this position may also include other elements, including a sign-on bonus and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.
