University of Illinois Extension isbased in the College of ACES and works with all colleges and units of theUniversity of Illinois at Urbana-Champaign.Job SummaryWorks under general supervision of the County Director to organize, coordinate, and perform a variety of clerical duties requiring knowledge of general office and university procedures and methods.Duties & Responsibilities
  • General
    • Answer and direct calls to SNAP-Ed educator and Community Outreach Worker.
    • Provides general clerical support SNAP-Ed educators and staff including coordination the production and distribution of the fliers, handouts, making copies, etc.
    • Coordinates the logistics and activities for specific program-related tasks, such as travel arrangements, food, equipment, facilities and other supplies.
    • Arranges internal and external meeting conducted by SNAP-Ed educator and staff by scheduling times, reserving rooms, arranging food serving, and coordination schedules.
    • Develops and maintain complex mailing lists on computer programs.
    • Compiles information for annual reports, plans of work, special evaluation studies as directed.
    • Formats complex materials using office software e.g. reports, agendas, meeting of minutes, speeches, and non-technical articles for publication, tables and charts, certificates, and other documents. Type complex materials from rough draft to final form.
    • Gather and devise forms, compose letters or compile factual reports from general instructions, exercising judgment and originality such as designing office forms.
    • Assembling annual or process reports, requesting factual information, or preparing meeting agendas items requiring the use of judgment and knowledge of Extension activities, programs and University policy and procedures.
    • Performs typing of moderate difficulty; types materials and edits for grammar, punctuation, and sentences structure.
  • Fiscal
    • Prepares documents for vouchering. Assists with the development and maintenance of financial support for the conduct of the program activities.
    • Assists the team efforts in Extension fiscal accounts include monitoring inventory and ordering supplies; process P-card transactions, specific account procedures, and processing specific Purchasing office, educational, other supplies for SNAP-Ed educators and staff.
    • Preparation of invoice vouchers and purchase orders.
  • Organizational
    • Verifies annual equipment inventory.
    • Maintains and/or assists with compiling of necessary records/documents to complete required SNAP-Ed reports, attendance sheets, travel, and other required reporting.
    • Comply with Affirmative Action/Equal Opportunity policies and guidelines in all aspects of University of Illinois Extension work.
    • Complies with all University of Illinois Extension and USDA policies and guidelines in all aspects of Extension work; assist Unit staff with data collection for Affirmative Action, Gender, and Targeted reports.
    • Performs other related duties as assigned.
Additional Physical DemandsTo perform the functions of this position, the employee will be required to perform work both within an office and outside in the communities that are served and must have the capability to travel from one location to the other in a timely fashion. Employee is responsible for securing personal transportation. A valid driver's license is preferred. Some work will be required during evenings and/or weekends. When working, the employee may be exposed to a variety of environmental factors to include, but not limited to, hot or cold weather, exposure to noise and allergens, and uneven ground. In performing the functions of this position, the employee may be subjected to various mental and physical demands as well to include, but not limited to, independently traveling to and performing work at different locations, ability to move, transfer and/or transport items that may occasionally weigh up to forty (40) pounds and frequently weigh up to twenty (20) pounds, and twisting, pushing and pulling movements. Minimum QualificationsHigh school diploma or equivalent.Any one or combination totaling eighteen (18) months from the categories below:
  • College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:30 semester hours equals one (1) year (12 months)Associate's Degree (60 semester hours) equals eighteen months (18 months)
  • Work experience performing office/clerical activities, including the use of computer systems.

  • Strong communication skills.
  • Capacity to communicate with a wide variety of people. Meet the public with a pleasant, composed and cordial manner, clearly and concisely.
  • Skill in working independently, while positively contributing as part of a professional office team.
  • Ability to use Windows-based computer applications, presentation and communications equipment.
Appointment InformationThis is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible.
