The right Onboarding Coordinator checklist will include equal parts curious learner, innovator, administrator, detail driver, mentor, and motivator.The Onboarding Coordinator provides support by assisting Talent Acquisition Specialists, hiring managers, and new/returning Hosts with the onboarding process for Dollywood Parks and Resorts. All of this will be done in a manner consistent with the mission, values and operating philosophies and standards of the Dollywood Company.Additionally, the ideal candidate will be able display and live out Lead with Love qualities, strongly rooted in the Dollywood Company culture, by being patient, kind, trusting, unselfish, truthful, forgiving, dedicated and accountable.Summary of Essential Functions and Responsibilities
- Use UKG Recruiting and Onboarding software systems to track new hires, update hiring status, launch onboarding, set up and maintain employees' personnel history
- Manage onboarding event software for efficiency, compliance and employee experience
- Audit personnel records for all new hires and rehires
- Maintain processing schedules for all new hires and rehires
- Act as the liaison between Safety and Human Resources to ensure a smooth onboarding experience
- Rescinds job offers for hosts who have unsatisfactory drug screen and background check results
- Oversee Safety Holds by ensuring required documents are submitted in a timely manner and follow up with leadership after approved by Safety
- Obtain proper identification for federal, state and company policy compliance
- Keep extensive onboarding records and update teams daily
- Check the results of credit, criminal background checks, drug tests and motor vehicle reports. Responsible for communicating results to all Hosts
- Track and report returned rehire letters, assist current hosts with issues surrounding rehire acceptance
- Plan and facilitate annual mass rehire processing events
- Assist with H2B processing events
- Assist with college group processing
- Be the primary point of contact for all contract labor support onboarding including scheduling initial meetings, onboarding plans, employee tracking, etc.
- Serve as back up to HR Front Desk as needed
- Ensure compliance with federal, state and company rules and regulations regarding personnel files
- Support Human Resources Operations with various projects surrounding Benefits enrollment
- Assist with and support other Human Resources programs and projects
- Maintain excellent relationships with Dollywood Parks and Resort teams and departments
- Respond, copy, and file daily correspondence in a timely manner
- Be knowledgeable of and assist with employment functions of new hosts to include, but not limited to, hiring events, training, wardrobe and host ID's
- Always maintain confidentiality to ensure that there is no release of information pertaining to Dollywood records, plans of any other matter without approval

- Minimum 18 years of age
- High School Degree or equivalent required; College degree preferred
- Bilingual preferred
- Recruiting and Onboarding experience preferred
- Proficient knowledge of Microsoft Office software
- Intermediate Excel Skills highly preferred
- Type 40 WPM
- Knowledge of office equipment and computers
- Exceptional communication skills - written and verbal
- Data entry and data management experience preferred
- Must successfully complete a pre-employment background check
- Flexibility to meet varying customer needs and to juggle multiple priorities daily
- Strong organizational skills are essential
- Knowledge of employment law
