Position Overview:
Concurrents Base Camp team is an elite, bicoastal team of talented and driven professionals who work together to achieve common goals. As the face of the firm, our department is in the business of making great first impressions that lead to lasting relationships. In your role as an onboarding specialist, you will collaborate with your team to provide all the support and training an advisor needs to move their book of business to Concurrent. Answering any questions that arise, you will act as a liaison between the advisors office and other internal departments. We pride ourselves on providing indispensable customer service to all our advisor offices, doing whatever it takes to answer questions, resolve problems, and maintain great relationships. We are seeking a highly motivated and detail-oriented Onboarding / Implementation Specialist to join our team. This role is critical in ensuring a seamless onboarding experience for new clients and efficient implementation of new processes and technologies within the firm. The ideal candidate will possess strong project management skills, a deep understanding of financial services, and the ability to communicate effectively with clients and internal teams.
Responsibilities:
Client Onboarding:
- Coordinate and manage the conversion of new clients, ensuring a smooth and efficient onboarding process.
- Serving as the relationship manager, main point of contact, and escalation point for new advisors moving to Concurrent
- Gather and verify all necessary client information and documentation.
- Establish new accounts and ensure accurate setup within the firm's systems.
- Provide ongoing support to clients during the conversion phase, addressing any concerns or questions.
- Answering and fielding questions on a variety of financial topicsincluding operations, branding, compliance, and wealth managementas well as developing a strong knowledge base of other financial firms
Implementation:
- Lead the implementation of new processes, technologies, and systems within the firm.
- Coordinating informational discussions and training sessions between departments, new advisors, and their staff
- Collaborate with internal teams to ensure successful deployment and integration of new tools and platforms.
- Train staff on new systems and processes, providing support and troubleshooting as needed.
Project Management:
- Develop and maintain detailed project plans, including timelines, milestones, and deliverables.
- Creating customized conversion timelines and running weekly check-in calls to ensure that new advisors have a smooth onboarding experience
- Monitor project progress and ensure that all deadlines are met.
- Communicate project status and updates to relevant stakeholders, including management and clients.
Compliance and Documentation:
- Ensure all client onboardings and implementations comply with regulatory requirements and internal policies.
- Maintain accurate and up-to-date records of client information and project documentation.
- Educating new advisors and their staff on all areas of Concurrent
Data Management and Integrity:
- Assist teams with spreadsheets and other data formats in organizing client data
- Project manage bulk data uploads working with our technology partners and systems
- Ensure data integrity and accuracy throughout the onboarding process
Qualifications/Experience:
- Bachelors degree in finance, Business Administration, or a related field.
- Minimum of 3-5 years of experience in financial services, preferably with a registered investment advisor or similar firm.
- Strong understanding of investment products, financial planning, and regulatory requirements.
- Proven experience in project management, with the ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal skills, with a client-centric approach.
- Proficiency in financial software and tools, including CRM systems, portfolio management software, and Microsoft Office Suite (Outlook, Powerpoint, etc).
- Advanced Excel Skills: Including but not limited to: Vlookup or Xlookup, Concatenate Functions, Pivot Tables, Get Data/Data Query Capabilities, etc
- Detail-oriented with strong analytical and problem-solving abilities.
- Ability to work in a fast pace environment while meeting specific deadlines.
- PowerBi or Tableau experience is preferred
Preferred Skills:
- Project Management Professional (PMP) certification or similar credential.
- Experience with specific financial software platforms (e.g., Black Diamond, Money Guide Pro, Custodian Systems).
- Series 65 or willingness to attain
- Familiarity with compliance and regulatory issues in the investment advisory industry.
- Ability to work independently and as part of a team in a fast-paced environment.
Location / Schedule
- This position will work in our Tampa, FL or Dallas, TX office.
- Working hours are 9am-5pm Monday-Friday with the option to work remote on Fridays
- Occasional evening/weekend hours may be requested.
- Ability to travel up to 40%
Job Type
- Full-time, Exempt
- $75,000-$85,000 base per year, dependent on experience, with additional semi-annual performance bonus opportunities
