Onboarding Specialist
The Onboarding Specialist is responsible for the timely and accurate onboarding of new hires and rehires, including clearance of background checks and all requirements for compliance purposes. The Onboarding Specialist effectively works with each new hire to complete their onboarding tasks, compliance requirements, and health screenings prior to starting, and assist with new hire inquiries regarding their onboarding process. The Onboarding Specialist will collaborate with multiple departments throughout the organization. Ideal candidates will be driven to succeed, organized, thrive in a fast-paced environment, have strong interpersonal and communication skills, and be a team player.
Essential Responsibilities:
- Processing new hire paperwork for external employees including running background checks, drug screens, and I-9 forms.
- Sending external employee agreements, offer letters, and contracts.
- Guiding new consultants through the hiring and onboarding process.
- Providing administrative support to external and internal employees within the corresponding division.
- Answering and directing incoming phone calls.
- Assisting the Payroll department to ensure consultant timesheets are turned in accurately and on time.
- Assisting in communication between Sales Managers and Recruiters by sitting on calls or meetings and being able to answer questions as needed.
- Become a subject matter expert on Vendor Management Systems (VMS) and assist internal and external employees with submissions and any other issues that may arise.
- Assisting with projects as needed for the Sales and Recruiting Team.
- Perform other duties as assigned or required.
Required Skills and Experience:
- Ability to work independently with minimal direction and supervision.
- Proactive and capable of prioritizing work and handling multiple assignments simultaneously.
- Detail-oriented with the ability to handle sensitive and confidential information.
- Experience in a fast-paced, efficiency-focused environment is a plus.
- Ability to work collaboratively with colleagues and clients, establishing and maintaining effective working relationships.
- Ability to handle competing priorities in a fast-paced, and evolving environment.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint); knowledge of CRM or ATS system to the new hire onboarding process is preferred.
- Bachelor's degree (relevant experience in lieu of education may be considered)
