Summary:

Please note: This is a pool, as needed position. No guarantee of hours.

To efficiently and accurately schedule surgical procedures, interventional radiology, cardiac procedures and blood transfusions/other infusions, for over 100 providers from a variety of specialties into 16 operating rooms and other procedural areas throughout Confluence Health to ensure quality patient care is provided in a timely, cost-effective and productive manner.

Position Reports To: Hospital Director or Manager

Essential Functions:
  • Schedule cases in the correct operating Room or procedural location; including but not limited to the appropriate hospital, correct time, location, operating room block.
  • Must understand the scheduling needs of physicians, surgeons, proceduralists in all specialty areas to enable prompt patient access for clinical concerns in a timely fashion. This includes timely cancelling and rescheduling of cases.
  • Answer the telephone in a timely manner and directs the calls to appropriate staff while maintaining the utmost professionalism and courtesy.
  • Assist office schedulers with appropriate case scheduling for their departments and may include orienting new office Schedulers, Medical Assistants and RNs to the OR Scheduling work flow.
  • Keep current on the daily scheduling, staffing situations and scheduling issues in all locations.
  • Effectively communicate all schedule changes to the appropriate personnel.
  • Exhibits excellent customer service skills.
  • Competent use of telephones, computers, printers, copiers, and fax machines.
  • Consistently monitor OR block schedules and specialties to ensure each providers schedule is utilized as efficiently as possible.
  • Provide feedback on workload and refinements to the OR team and Senior Leadership Director.
  • Reports directly to the Perioperative Hospital Manager or Director. Will also work closely with the Surgical Analyst, Operating Room Managers/Directors, the VP of Nursing and the Perioperative Medical Director.
  • Assists with setting up and managing block schedules.
  • May be required to run various surgery department reports to assist with the work flow of Confluence Healths Surgical Services departments.
  • May be required to cross train to other areas of Perioperative Services such as Surgery Reception and/or Charge Posting.
  • Ensure that necessary information related to the Procedure/Surgery are obtained prior to the scheduled event.
  • Other duties as assigned.
  • Demonstrate Standards of Behavior and adhere to the Code of Conduct in all aspects of job performance at all times.

    Qualifications:

    Required:

    • High school graduate or GED.
    • Relatable computer and software applications experience.

    Desired:

    • Medical terminology course.
    • Experience in a medical or related type of facility or office.
    • 2-year General Education degree or AA of Science degree.

    Working Conditions:
    • Many of the essential job functions of this position are done while seated at a desk. This may be in an open hallway or in a more confined space. Much work is done independently but there is also interaction with others, both in person and by phone. Overtime hours may occasionally be required. There is mental stress and pressure associated with this position.
