Together, we are committed to delivering excellence and comprehensive solutions in the international marketplace.SUMMARY We are seeking a dedicated and detail-oriented Operations Specialist to join our team. The ideal candidate will be responsible for efficiently processing sales orders to retailers, distributors, and wholesalers via various shipping methods including express shipping, truck loading, and will-call. This role requires close collaboration with the sales team and warehouse team to ensure timely and accurate order fulfillment.KEY RESPONSIBILITIES
  • Order Processing:
    • Accurately process sales orders received from customers and/or sales team members.
    • Verify order details, including product specifications, quantities, and shipping instructions.
    • Coordinate and schedule shipments via express shipping, truck loading, and will-call pickup.
    • Utilize various systems and software to ensure accurate and efficient order processing.
  • Shipping Coordination:
    • Work with logistics providers to arrange timely and cost-effective shipping.
    • Ensure all shipping documentation is accurate and complies with company standards and regulatory requirements.
    • Monitor shipment progress and address any issues or delays promptly.
  • Collaboration and Communication:
    • Liaise with the sales team to understand order priorities and special customer requirements.
    • Coordinate with the warehouse team to ensure accurate picking, packing, and dispatch of orders.
    • Communicate effectively with internal teams and external partners to resolve order and shipment issues.
  • Inventory Management:
    • Assist in tracking inventory levels to ensure order fulfillment capabilities.
    • Report any discrepancies in stock levels and collaborate on inventory adjustments.
  • Invoice Generation:
    • Generate invoices for processed orders on a daily basis.
    • Ensure all invoicing details are accurate and match the order and shipment records.
    • Address any discrepancies or issues related to invoicing promptly.
  • Documentation and Reporting:
    • Maintain accurate records of all sales orders and shipments.
    • Prepare regular reports on order processing metrics, shipping performance, and inventory status.
    • Assist in developing and improving operational procedures and documentation.
  • Customer Service:
    • Provide excellent customer service to retailers, distributors, and wholesalers regarding order status and delivery information.
    • Address and resolve customer inquiries and complaints related to order processing and shipping.
QUALIFICATIONS
  • Education:
    • Bachelor's degree in business administration, Supply Chain Management, Logistics, or a related field is preferred.
  • Experience:
    • Minimum of 2-3 years of experience in order processing, logistics, or operations, preferably in a retail, distribution, or wholesale environment.
  • Skills and Competencies:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
    • Experience with ERP systems, QuickBooks, SPS, Netsuite, CommerceHub, Zendesk and order processing related software.
    • Detail-oriented with strong analytical and problem-solving skills.
    • Ability to work effectively both independently and as part of a team.
  • Physical Requirements:
    • Ability to sit for extended periods.
