Job DescriptionJob Responsibilities & Qualifications This coordinator position requires the ability to multi-task in a fast-paced warehouse environment. To be successful, the ideal candidate would be able to demonstrate attention to detail across different functional areas. They should have the ability to meet specific deadlines, execute with efficient organizational skills, and the ability to adapt to change comfortably. Since this role has access to senior executives, a high level of integrity and discretion is a must when handling confidential information. Effective listening skills, the ability to take direction and professionalism in dealing with senior professionals inside and outside the company is key. Delivering completed tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture will make this person successful. This position will work closely with the senior management team and HR Manager/HR Business Partner. The ability to communicate in a clear, concise manner across multiple media is important. Responsibilities for this position include the ability to act as an extension of the general manager and human resource manager/human resources business partner, to anticipate needs, think and plan ahead, manage time effectively, calendar management as well as travel coordination, purchase orders, and assist with meeting agendas. Candidate must have the ability to quickly learn organizational structure, team objectives and adapt to Fanatics values and vision along with a can-do attitude. Some flex hours may be required. The ideal candidate is able to work successfully in a team environment and build effective working relationships inside and outside of the group while keeping abreast of general business objectives, policies, standards, services, facilities, procedures and related information in order to maintain a comprehensive awareness of the organization. Sample of responsibilities:
  • Responsible for developing the GMs' day-to-day schedules and prioritization of activities.
  • Track and help drive completion of key deliverables and follow up on outstanding items.
  • Generate the essential reports required for the daily GM/HR spreadsheet figures.
  • Drive key team activities, including staff and team meeting agendas and logistics, planning and logistics for team events, and manage local activities for org-wide events such as post-All-Hands social hours, etc.
  • Identify and coordinate most productive and cost-effective method for meetings including in-person, on-site, offsite, audio and/or video conferences
  • Act as liaison between the GM/HRM/HRBP and teams, as requested and appropriate. - Schedule cost effective air/hotel/ground transportation. Create detailed travel itineraries (including smooth transitions between time zones) and expense reports.
  • Time and attendance reporting & auditing (HR reporting) for FTE, seasonal and temporary employees.
Position Type/Expected Hours of Work Full-time. Monday - Friday: 6:00AM - 3:00PM. OT required during peak season (Est July-October) with occasional Saturday's. Work Environment This position works in an environment in which safety, environmental and health concerns may demand constant attention. While performing the duties of this job, the employee is frequently exposed to a warehouse setting. The employee is occasionally exposed to a variety of extreme weather conditions. The noise level in the work environment can vary, but below the required limits for hearing protection. Physical Demands While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms The employee is occasionally required to sit, climb, balance, stoop, kneel, crouch or crawl. The employee must be able to lift and move up to 35 pounds and occasionally lift and move objects up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. REQUIRED QUALIFICATION
  • Microsoft Office is essential. (Microsoft Word, Excel, PowerPoint, SharePoint)
  • Administration Assistant responsibilities/experience
PREFERRED QUALIFICATIONS
  • Distribution, retail or critical infrastructure work environment, an environment that is fast paced with short service level agreements with customers.
  • Cross functional staffing
  • Ability to communicate effectively with a variety of constituent groups such as senior management, peers, and outside contacts.
  • HRMS experience- experience using one or more of the following: UltiPro, Oracle other HR payroll systems
  • Highly organized and detail oriented.
  • High level of integrity and discretion to handle confidential information.
  • Sound judgment and flexibility to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines with little to no direction.
  • Previous project management or event planning experience
  • FMS/WMS and DMS experience
  • Bilingual - Spanish
