We are seeking a highly organized, resourceful, and adaptable Operations Associate to support a venture capital fund in Santa Monica, CA. This role offers a wide variety of tasks and tremendous growth potential, providing exposure to different areas of the business including executive support, office management, IT, HR, and compliance. This candidate will work closely with two managing partners (MPs), Chief Compliance Officer (CCO), and the broader team, supporting day-to-day operations and ensuring that everything runs smoothly.
Key Responsibilities:
- Provide support to the two managing partners and the CCO, handling administrative tasks, calendar management, meeting preparation, and special projects as needed.
- Oversee general office operations, ensuring the office environment is running efficiently. Handle logistics for office supplies, equipment, and general maintenance.
- Assist with HR tasks, including payroll and benefits management through Trinet, employee onboarding, and other HR-related functions. This component is teachable but requires a willingness to learn.
- Interact with external IT team. Help with technology setup, troubleshooting, and cybersecurity initiatives. While some of this is teachable, prior knowledge of IT processes is a plus.
- Assist CCO with annual insurance renewals.
- Help organize events for the team for investors, limited partners, and portfolio companies.
- Perform assistant duties for the management team including coordinating travel, submitting payroll, submitting quarterly expense reports, running occasional errands and document organization.
- Coordinate meetings and send calendar invites for the executive team.
- Track and organize contracts, signatures and wires during closing processes for investments and funds.
- General maintenance of the company's files and records.
- Manage the accounts for company subscriptions and licenses. Provide and remove employee access as needed.
- Manage & order office supplies.
- Welcome visitors and appropriately handle their visit experience.
- Reception management including incoming mail and deliveries.
- Plan company events, including lunch reservations and delivery orders.
- Work with building management to schedule office maintenance and deliveries.
Qualifications:
- 2+ years of relevant experience in an operational or administrative role, ideally at an investment firm, investment bank, law firm or tech company.
- BA/BS required.
- Strong proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Suite.
- Familiarity with HR and IT processes is a plus, but most functions are teachable.
- Strong verbal and written communication skills, as well as organizational skills.
- Proactive problem solver who can own projects from start to finish.
- High level of integrity, professionalism and discretion in management of confidential or sensitive information.
- Must be able to work in the office 4 days a week, with the option to work remotely on Fridays.
Location: Santa Monica, CA (In-office 4 days a week, WFH on Fridays).
Compensation & benefits: $70-85K DOE, medical, dental, vision (80% company
coverage), 401(k) (no match), potential future profit interest.
