Role Description
The Operations Associate is a proactive and highly organized professional who will serve as the linchpin for operational and administrative excellence at Caisson. Reporting directly to the managing partner, this individual will manage core administrative functions on behalf of the firm to achieve operational excellence. This role involves overseeing document management, facilitating communication across multiple constituencies, and ensuring seamless operations across the firm's key functions – acquisitions, asset management, and investor relations. The Operations Associate is a critical team member supporting Caisson's growth, efficiency, and adherence to our values.
Key Responsibilities
- Deliver comprehensive administrative assistance to the executive team, including scheduling, calendar management, travel arrangements, and expense reporting.
- Oversee digital filing systems, including acquisition due diligence files, investor deal rooms, and executive documentation.
- Process vendor payments, manage accounts payable workflows in QuickBooks, and maintain accurate financial records.
- Track project timelines, coordinate team tasks, and contribute to special projects as needed that support the firm's operational efficiency and growth initiatives.
- Represent Caisson's values and goals when communicating with high-net-worth investors and company vendors, providing polished and professional correspondence.
- Aide in maintaining CRM and tracking investor correspondence.
- Support marketing efforts by tracking initiatives, and partner social media correspondence.
- Conduct and synthesize research on real estate industry trends to help supplement firm marketing efforts.
Qualifications
- Bachelor's degree or equivalent experience in business administration, finance, marketing or a related field.
- 3+ years of experience in an operational or administrative support role, preferably in finance, real estate, or a construction environment.
- Demonstrated integrity in previous roles and a commitment to high ethical standards.
- Demonstrated ability to handle sensitive information with discretion and uphold confidentiality requirements.
- A keen desire to learn more about real estate investing, private equity acquisitions, and the rental housing industry.
Skills and Abilities
- Exceptional organizational and time-management skills with the ability to manage multiple priorities effectively.
- Strong attention to detail and accuracy in documentation and reporting.
- Excellent written and verbal communication skills, with the ability to draft professional correspondence and edit documents for clarity.
- Intermediate Microsoft Office and Adobe skills (Outlook, Word, PowerPoint, Adobe Reader) to complete daily tasks.
- Working proficiency with using AI to create, train, and improve internal company GPTs to enhance research and communication efforts.
- Proficiency in Excel functions to complete operational tasks, not limited to but including: Basic functions and data analysis features to analyze data sets; text manipulation features and basic logic functions to clean qualitative data; keyboard commands to select data, format and Copy/Paste/Fill
- Basic understanding of private equity process terminology, such as LOI, PSA, ALTA surveys, title work, diligence reporting, and OMs.
- Familiarity with High-Net-Worth investor communications and compliance best practices.
- Collaborative mindset with a willingness to give and receive feedback constructively.
- Proactive problem-solver who can anticipate needs and take initiative to address them.
