The Operations Coordinator ensures operational success for the University's Shaw Center for Public & Community Service. Reporting to the Center's Director, this position includes management of the Center's administration, budget, payroll and transportation. The Operations Coordinator analyzes and improves organizational processes, and works to enhance quality, productivity, and efficiency. The Operations Coordinator is expected to complete administrative tasks and collaborate in teams comprised of faculty, staff, and students to tackle larger center projects.
This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.
Education and Experience
* Bachelor's degree or equivalent combination of education and experience.
* Two (2+) plus years of work experience in a similar position with significant programmatic and administrative responsibilities.
* Strong communication, negotiation, and organizational skills are essential.
Skills and Knowledge
* The Operations Coordinator must be outgoing, flexible, and assertive with knowledge of and ability to develop, a clear understanding of the Shaw Center and University community, as well as a broad understanding of the larger Syracuse/Onondaga community to model appropriate direction to a diverse set of inquiries.
* This position requires knowledge of best practices in university activities with excellent administrative skills.

* Ability to prioritize pending tasks and requests, keeping student needs and University processes/risk in mind is essential and critical.
* The Operations Coordinator must be able to function in fast-paced environment with several other professional and student staff in close proximity.

Responsibilities
* Develop, coordinate, and maintain Center reports and materials, seasonal projects and events, Impact Reports, and end of semester reports and assessments.
* Manage all administrative tasks for the center; facilitate meetings; manage all technology usage, passwords, and equipment tracking; develop manuals; maintain website with frequent updates, current information, and relevant posts.
* In partnership with Parking & Transportation, Student Experience partners and Center leadership interns, provide coordination for the University-wide engagement transportation system. Duties include planning; daily oversight and schedule review; on-demand trouble shooting; and any additional support as needed.
* Regular meetings and process review with the interns is essential to the success of every aspect of this complex institutional program.
* Manage all administrative payroll and hiring procedures; procurement card and reconciliations; budget management; purchases and procurements.
* Develop, implement and monitor financial control process in compliance with University policies; work with Advancement for appropriate processing of donations.
* Provide training, direction, and management of financial processes to students and staff for procurement, travel, reconciliations, and budget reviews on a regular basis, enhancing their understanding of institutional structure and financial management.
* Connect, consult, and collaborate with appropriate campus and community partners to achieve institutional compliance.
* Communicate and consult with internal colleagues, such as Risk Management and Department of Public Safety, to mitigate risk inherent to student community engaged work and disseminate best practices, protocols, and procedures to faculty, staff, students, and community partners.
* Provide overall guidance and consistency in policy and procedure decisions within work unit and in collaborations.
