Operations Manager

Job Summary

Assists with planning, implementation, and overseeing all needed arrangements, including supervision of staff, for special events in assigned departments and venues. Manage in-house and contracted custodial services for department venues. Coordinate building operations and maintenance with University Facilities and contractors. Interface with all necessary departments, supervise and facilitate events, resolve conflicts and solve problems.

Responsibilities

1. Assists with facilitating, forecasting, planning, policies and procedures in the areas of stadium event operations, staff management, building maintenance, and budgetary goals and objectives that are consistent with University of Utah's policies.2. Hires, trains, and implements work direction and supervises Operations team and support staff. Completes the payroll process, timesheet verification, and time off requests for direct reporting staff. Is responsible for documenting and completing disciplinary action for staff by following the University HR policies.3. Supervises the activities of staff, volunteers, subcontractors and vendors as required to successfully execute all aspects of the events starting with the planning and setup, the actual event day or days, and the event strike and completion of returning the venue to being ready for the next event.4. Arranges logistics for all events and provides administrative support, including preparation and dissemination of informational materials and communications regarding the event. This may include, but not limited to; event info sheets, maps, budgets, incident reports, staffing schedules, contractor schedules, work orders, and purchasing or renting equipment and materials.5. Maintains ongoing communication with guests, staff and vendors. Email, phone calls, text messaging, using a radio, and computer software programs are some of the types of communication that will be required for day-to-day operations and event days.6. Provides administrative project support; may negotiate contracts, gathers information for RFP's and bids, obtains and organizes information and associated costs for project proposals.7. Administers event budgeting, tracking, and event invoice review and approval. Prepares and submits actuals reports to Event Managers by required deadlines.8. Supports, advocates for, and is an example to others of the Stadium, Arena, and Campus Event Services culture core beliefs: Get It Done, Power in Unity, Best of the Best.9. Work hard. Be reliable. Develops relationships with direct report staff, all department staff, and University and other key stakeholder partners to promote exceptional communication, working as a team, and providing the best possible guest experience at all stadium, arena, and campus events that the department hosts.

Problem Solving

Demonstrated leadership skills, critical thinking, problem solving, and decision-making skills are essential to the position. Ability to oversee multiple projects/events and work assignments for a variety of staff, volunteers, and subcontractors. Ability to work under pressure with last-minute changes or frequently changing objectives.

Comments

Depending on the area of assignment, this position may be required to be on-call 7 days/week and may be called to work occasionally on weekends and evenings during special events.

Minimum Qualifications

Requires a Bachelor's degree in a related area or equivalency (one year of education can be substituted for two years of related work experience) and 3 years of progressively more responsible events coordination experience. Demonstrated human relations and effective communication skills required. A related field may include but is not limited to: Business, Communications, Hotel / Hospitality Management, Sports Management and Public Relations.

Demonstrated leadership skills in planning and supervising employees and processes.

Preferences

Forklift certification is preferred for this position. If you do not have the certificate to operate a forklift, it must be obtained in the first 60 days of work.

Experience using 24/7 incident management software.

Experience using Momentus/Ungerboeck event booking calendar software.

Strong staff management skills; screening new-hire candidates, hiring, training, documenting corrective action, setting clear expectations, creating a culture of accountability.

Experience building mobile stages, platforms, rigging, and other equipment elements of large events.

Has a general knowledge of building systems including plumbing, electrical, HVAC, and refrigeration equipment.

Work Schedule Summary: Monday through Friday 7:00am to 4:00 pm. Evenings, nights, weekends, and holidays will be required to work as scheduled for Stadium and Arena events.
