POSITION TITLE: OPERATIONS MANAGER STATUS: EXEMPT -FTDEPARTMENT: OPERATIONS SUPERVISOR: DIRECTOR OF OPERATIONS LOCATION: Sonora, CaliforniaPOSITION SUMMARY: Under the direct supervision of the Director of Operations, this position is responsible for planning, implementing, and monitoring the Electronic Patient Management (EPM), Electronic Health Record (E H R) and I2I Tracks systems for front office utilization. The incumbent will work with reception leads to provide on-site training to front office, periodic updates and changes in the process as needed. The individual will work with the Director of Operations to develop, implement and monitor activities related to the EPM software. This position requires regular training and monitoring of Reception leads and front office personnel to ensure policies and procedures are in place and continue to be maintained. Employee must work in a positive and respectful manner with fellow employees.The position requires an awareness and keen appreciation of American Indian traditions, customs, and socioeconomic needs and the ability at all times to meet and deal effectively in contacts with Indian health organizations which requires tact, courtesy, discretion, resourcefulness and good judgment in handling functions of a sensitive nature. PRIMARY RESPONSIBILITIES:
Reviews and recommends changes to policies, procedures and protocols for use in the MACT clinics for the implementation, maintenance and monitoring of the EPM. Identifies areas for improvement, assists in implementing those improvements and develops a methodology for ongoing monitoring of the improvements.Works with Lead Receptionists to develop, implement and maintain a training program for new employees and for ongoing education.Assists with compliance monitoring of MACT and governmental regulationsMakes recommendations/suggestions to the Operations Director regarding upgrades and enhancement requests.Assists in the development of a comprehensive In-service Training program plan for all front office staff. Assists in coordination of reception staff schedule to ensure adequate coverage for reception.Assist in front office staff performance reviewsMust adhere to the MACT Health Board, Inc. Corporate Code of Conduct.Maintain confidentiality with patient information at all times; adheres to all HIPAA guidelines/regulations.Adheres to all MACT policy and procedures.Other duties as assigned. KNOWLEDGE AND SKILLS FOR POSITION:Knowledge of NextGen EPM and E H R workflow dynamics and how to implement modifications of the EPM Software as directed by the Director of Operations.Knowledge and training in the HIPAA regulations related to patient care documentation, eligibility process and compliance to the regulations.Good detail analysis, accuracy, oral and written communication, patience and tact required. Ability to prioritize tasks and complete assignments in a timely manner.Project planning and monitoring for multiple groups within a project.Ability to assist in the development and implementation of Quality Improvement activities within the organization.Microsoft Word, Excel and Power Point knowledge for documentation and preparation of reports, training and presentations.Computer knowledge for documentation and preparation of reports, training and presentations.POSITION REQUIREMENTS:Knowledge of EHR-EPM systems including NextGen & QSI.Ability to visit all clinic sites within the organization for training and meetings. Valid unrestricted California Driver's license and the ability to be insurable under MACT's automobile insurance.Knowledge of AAAHC accreditation. MINIMUM QUALIFICATIONS:Bachelor Degree - can be substituted for three years of responsible management experience in a public health or health service agency.Possess prior experience in supervising staff.Possess prior experience in the development and implementation of training staff with various levels of knowledge and experience.MANDATORY REQUIREMENTS:Pass an Occupational Health Screening, which includes passing a mandatory drug screening.Physical examination within the first week of employment to include:TB Clearance.Undergo Hepatitis B vaccination or provide proof of immunity.Must possess a valid form of identification as listed on the U.S. Department of Justice I-9 form, verified using the E Verify system.The position requires an awareness and keen appreciation of American Indian traditions, customs, and socioeconomic needs and the ability at all times to meet and deal effectively in contacts with Indian health organizations which requires tact, courtesy, discretion, resourcefulness and good judgment in handling functions of a sensitive nature.DESIRED ABILITIES:1.
