  • At the Hospital of the University of Pennsylvania's (HUP) Interventional Support Center (ISC) , the Operations Manager - PeriOp Supply Chain manages all resources and activities necessary to assure that all supplies needed in Perioperative Services are available and stored in accordance with all internal supply chain and external regulatory agency policies. Supervise Material Service Partners (MSPs) who requisition, order, receive and restock all the non-storeroom, direct vendor items as well as pick instrument sets and supplies for surgical cases for HUP, Pennsylvania Hospital and their affiliate Surgery Centers. Facilitate active communication between Perioperative Supply Chain staff and all Perioperative Clinical and Perioperative Business Operations staff in dealing with supply chain matters. Coordinate responses to all recall alerts for PeriOp Supplies. Reports to the Managing Director ISC
  • Oversees departmental compliance with regulatory agency requirements. Directs workers engaged in ordering, receiving, shipping, unpacking, picking, staging, storage, verification, case carts, par area stocking, insert building, cycle counting and all other activities required to successfully maintain adequate supplies of stock items for the ISC. Organization and control of inventory functions to achieve optimal service standards and fiscal accountability. Leads the hiring process of new employees, including training and continuing education for the staff focusing on development and retention. Host regular team meetings as well as individual meetings with staff which focus on improving employee engagement scores. This position works with clinical staff and physicians to ensure that all supply chain operations address and improve clinical outcomes, patient safety, variation, quality, efficiency, and cost. In collaboration with Director and nurse leaders work with all levels of supply chain and management in establishing and maintaining appropriate par levels for supplies, monitors usage of par level supplies, works with inventory team in adjusting levels where appropriate and ensures removal of outdated supplies. Assist Director to oversee both internal and external product planning activities such as recalls, backorders, trials, in-services, conversions, item adds. Assist Director to create and maintains cost effective systems to ensure the availability of adequate resources for the department. Responsible for the timely acquisition and management of supplies, implants and surgical instrumentation. Collaborates with nursing team leads to identify substitutes and resolves backorders at-risk for adverse clinical impact. Assist Director in researching and identifying opportunities related to products and supplies for standardization and cost savings opportunities.
Responsibilities:
  • Champions service excellence as the frontline leader of PeriOp Supply Chain, provides optimal service to the surgeons and clinical teams.
  • Accountable for overseeing PeriOperative supply chain operations (distribution, replenishment, perpetual inventory annual inventory and Implants).
  • Accountable for overseeing all sterile cores / storerooms within the PeriOperative footprint.
  • Responsible for the Inventory and ensures that the proper levels are maintained at all times.
  • Personal characteristics and management style that emphasize teamwork, communication, collegiality, flexibility, trust and patience.
  • Ability to effectively prioritize responsibilities while under pressure.
  • Ensures effective prioritization of requests for services against available resources.
  • Facilitates interaction with Nurse Coordinators, Nurse Managers, and Anesthesia leaders.
  • Manages PeriOp supply chain staff by ensuring efficient and safe patient flow.
  • Ensures resources from all support teams are used effectively.
  • Reports issues/finding to Director, PeriOp Supply Chain.
  • Manages Supply Chain teams workload and task assignments.
  • Provide the Medical Staff and Nursing the support when acquiring new and replacing products.
  • Provides assigned direction and support relating to perioperative inventory, replenishment of supplies.
  • Coordinates with Perioperative Resource Manager to schedule routine meetings with clinical leads and PeriOp Supply Chain staff to improve service and quality outcomes.
  • Displays adequate communication skills with PeriOp staff, management and others.
  • Collaborates with nursing team leads to Identify substitutes and resolves backorders at-risk for adverse clinical impact.
  • Responsible for the timely acquisition and management of supplies, implants and surgical instrumentation
  • .Partner with Director, PeriOperative Supply Chain to oversee both internal and external product planning activities such as recalls, backorders, trials, in-services, conversions, item adds.
  • Ability to observe, analyze and interpret general, technical and clinical data (verbal and written).Modifies behavior or work schedule when necessary to achieve department goals.
  • Ability to generate project plans to support implementation activities and project management experience helpful.
  • Assist Director, PeriOperative Supply Chain in establishing and maintaining accurate inventory control over supplies / implants with Materials Distribution.
Education or Equivalent Experience:
  • H.S. Diploma/GED (Required)
  • Bachelor of Arts or Science (Required) with 4+ years of experience in a Healthcare setting, Experience in Healthcare Supply Chain. Education Specialization: Supply Chain, Business, Health Care Administration or Related field
