Job Description :
The Operations Specialist will work closely with staff and volunteers to support SAMU First Response's mission and programs, focusing on effective shelter operations. This role includes a mix of administrative and operational tasks, contributing to both program support and direct service. The Operations Specialist will supervise and assist Site Leads, handle scheduling and training, and ensure smooth day-to-day operations. This position may occasionally involve high demands and requires adaptability and a positive, team-oriented approach. Additional duties may be assigned as needed. ESSENTIAL FUNCTIONS: Operational Support: Assists with all aspects of assigned reception center to ensure they meet program and guest needs.Supervision: Under the direction of the Operations Manager, supervises Site Leads, including tasks like training, scheduling, performance evaluations, constructive feedback, and ensuring adequate staff hours.Performance Monitoring: Provides observation, feedback, job performance input, and training to Site Leads on a regular basis.Compliance: Ensures compliance with all shelter program regulations and guidelines at all times.Team Coordination: Conducts regular team meetings with Site Leads, both individually and as a group, to problem-solve and provide feedback on program and client needs.Safety and Reporting: Ensures safe operations and immediately reports any issues to the Operations Manager.Data Management: Collaborates with the Operations Manager to ensure accurate data collection, inventory management, and order processing.Financial Accountability: Follows established financial policies and procedures for program activities.Scheduling Flexibility: Maintains a flexible working schedule based on program needs.Direct Support: Assists with direct support at program sites when necessary.Personnel Issues: Addresses employee concerns under the guidance of the Operations Manager.Regular Communication with Leadership: Provides updates on staffing issues, guest concerns, safety matters, timecard issues, and procedural changes.Transportation: May drive agency or personal vehicle for business-related tasks.Inspections: Completes weekly space inspections and maintains vehicle inspection logs.Cultural Competency: Demonstrates cultural awareness and respect, engages in ongoing learning, and works to eliminate biases. STANDARD BEHAVIORAL RESPONSIBILITIES: Show respect toward staff as valuable team members with unique skills contributing to the organization's success.Maintain a positive and professional attitude, support a team-oriented environment, and display a commitment to confidentiality.Serve internal and external clients with dignity and respect.Adhere to mandatory in-service requirements, certifications, and licensures. MINIMUM QUALIFICATIONS: Degree in Social Work or a related field and at least one year of relevant work experience.Must be at least 18 years of age.Strong verbal and written communication skills with the ability to connect with both team members and those served.Excellent organizational skills for scheduling and staffing.Proficiency in Spanish (verbal fluency and intermediate written skills).Ability to lift up to 60 lbs (15% of the time).Arizona Level One Fingerprint Clearance Card, drug screening, valid Arizona Driver License, proof of insurance, and a clean Motor Vehicle Report (MVR) for the past 39 months. DESIRED QUALIFICATIONS: Previous supervisory experience.Additional years of directly related experience.Familiarity with the asylum process. Salary: $19 - $ 21 per hour.
