As an Operations Specialist, you will be an essential part of our team, dedicated to providing outstanding service to our clients. This role requires the ability to manage multiple tasks efficiently. You will support our advisors and ensure that all client interactions are handled with professionalism and care. The ideal candidate will have strong organizational skills, excellent communication abilities, and a detail-oriented mindset.

Key Responsibilities

  • Assist in the onboarding of new clients, ensuring a smooth and professional introduction to our services.
  • Handle client communication via phone, email, and in-person, ensuring all interactions are professional and efficient
  • Processing client requests
  • Maintain client confidentiality and adhere to compliance with financial regulations and standards.
  • Process and file documents, and manage office supplies ensuring the office operates smoothly.
  • Assist in daily client transaction requests and account updates.
  • Maintain high levels of client satisfaction by providing timely and accurate responses to inquiries and concerns.
  • Prepare and maintain client documents and records in compliance with regulatory standards.
  • Collaborate with team members to improve processes and enhance client services.
  • Stay informed about the latest industry trends and compliance regulations.
  • Assist in regular follow-ups with clients to gather feedback and ensure their satisfaction with our services.

Qualifications

  • Previous experience in financial operations, particularly with opening new accounts, making distributions, and transferring assets, is highly desirable.
  • Strong communication and interpersonal skills, capable of working effectively with clients and team members.
  • Proficiency in Microsoft Office and client management software.
  • Excellent organizational and time-management skills.
