Job Description

We are seeking a detail-oriented and reliable Order Entry Coordinator to join our team. The primary responsibilities include processing all activities recorded in the order entry mailbox, reviewing product orders for completeness and accuracy, and entering all orders into the system. The role involves creating budgets in Microsoft Excel, reviewing monitoring and service maintenance orders, ensuring required documentation is received, and accurately logging all services sold for recurring monthly revenue. You will assist the sales team with ordering document requirements, maintain project files on Microsoft SharePoint, and handle special projects as needed.

Responsibilities

  • Process all activity recorded in the order entry mailbox

  • Review all product orders for completeness and accuracy

  • Enter all orders (financial, commercial, enterprise, and national accounts) into the system

  • Create budgets in Microsoft Excel using data from Big Machines for revenue recognition

  • Review all monitoring and service maintenance orders for accuracy and submit to appropriate internal groups

  • Ensure all required documentation is received from the sales team and submitted to Contract Administration

  • Accurately log and track all services sold for recurring monthly revenue for Sales Compensation purposes

  • Assist sales with any questions pertaining to ordering document requirements

  • Create and maintain project files on applicable Microsoft SharePoint site

  • Review and process change orders

  • Process cancellations

  • Assist with special projects

  • Maintain composure in dealing with executives, clients, and staff under urgent and pressure situations

  • Handle and expose sensitive and confidential information appropriately

  • Assist and backup other positions as needed

  • Perform additional responsibilities as requested by the manager

Essential Skills

  • 1 to 3 years of experience working with sales contracts

  • Proficient in Microsoft Office (Word, Excel, PowerPoint)

  • Experience with Excel pivot tables, V-lookups, and formulas

  • Strong analytical and problem-solving skills

  • Excellent verbal and written communication skills

  • Ability to prioritize tasks and meet deadlines

  • Professional and organized with strong ethical standards for handling confidential information

  • Outstanding interpersonal and customer service skills

  • General business acumen

  • Willingness to work overtime as needed

Additional Skills & Qualifications

  • Bachelor's degree in business, finance, or accounting (experience in lieu of degree will be considered)

  • Experience with contract documents and order processing

  • Experience with Microsoft Dynamics (preferred but not required)

Work Environment

This position is based in an office environment with a pit-type setting, working alongside other Order Entry Coordinators. The role requires maintaining composure while handling sensitive information and working under pressure. The office encourages growth internally within the company.

Pay and Benefits

The pay range for this position is $18.00 - $20.00/hr.
