JOB TITLE: Receptionist DEPARTMENT: PACE REPORTS TO: PACE Center Manager / ADHC Director GRADE LEVEL: 1 FSLA STATUS: Non-Exempt JOB SUMMARY: Receives program participants and visitors, handles phone communications and in-coming and out-going mail, including inter-office correspondence. QUALIFICATIONS: High school graduate or equivalent. Pleasant outgoing personality. Ability to interact in a supportive manner with persons of all backgrounds. Ability to work under pressure and handle conflicting demands. Experience with full Microsoft Suite of products. Excellent telephone skills and etiquette. Must be medically cleared for communicable diseases and have all immunizations up to date before engaging in direct participant contact. Criminal history records check at hire. Drug screen at hire. JOB RESPONSIBILITIES: • Arrives to work at the designated time and prepares work area before the start of business hours. • Greets participants, drivers, and visitors; directs everyone to the appropriate location and/or service. • Receives, screens, and routes incoming telephone calls to appropriate parties. Documents calls in the electronic record, as appropriate. • Takes and delivers telephone messages to appropriate parties. • Reports concerns received through the front desk to the appropriate department. • Receives and sends faxes as needed and relays information to the appropriate department. • Processes incoming and outgoing mail, including inter-office correspondence. • Inputs information into the electronic health record to ensure adequate reporting of participant attendance and activities. • Assists administrative staff with administrative support duties such as faxing, filing, copying, etc. • Maintains a log of staff and visitors to the PACE Center. • Maintains control of the staff and visitor log during fire drills and emergencies. • Orders, stocks, and maintains an inventory of office supplies. • Coordinates work schedule with the PACE Center Manager to make sure the PACE front desk is always attended. • Coordinates lunch and break times with the Front Office Coordinator and Medical Records Clerk to make sure the front desk is always attended. • Participates in staff meetings and in-service training sessions. • Monitors and responds to calls for assistance from rest rooms. • Is courteous, polite and helpful to participants, staff, and the public. • Performs other duties as required.
