POSITION DUTIES AND QUALIFICATIONS
SUMMARY OF DUTIES:
Orders, stores, assembles, picks up and delivers supplies and equipment for City departments. Maintains storage facilities, inventory levels, and computerized procurement records. If assigned to automotive: Coordinates the acquisition and distribution of automotive parts, materials, and services for Fleet Services. If assigned to transportation: Maintains warehouse inventory for Streets and Traffic Maintenance. This includes inventory of traffic signal materials, street light materials, repairs power tools, sharpens chainsaws and builds signal heads.
This Candidate typically performs the duty assignment after receiving general instructions as to methods, procedures, and desired results with some discretion when making selections among a few, easily identifiable choices.
DUTIES AND RESPONSIBILITIES:*
Position Specific Summary
The Parts Specialist position at the City of Tucson's Environmental & General Services Department coordinates the acquisition and distribution of automotive and heavy truck parts, materials, and services.
Work is performed under the supervision of the Fleet Services Supervisor. This position does not supervise.
Duties and Responsibilities
* Purchases, receives, and distributes products through Enterprise Asset Management (EAM) systems and adheres to department reporting protocols for estimates, billing, and documentation purposes. Implements stock rotation strategies to prevent item expiration and deterioration. Conducts daily inventory audits and ensures inventory items are updated with accurate descriptions, part numbers, and pricing. Utilizes external vendor webpages to research special order and stock items and collaborates with vendors daily to obtain items.
* Receives stock and non-stock special-order parts and supplies, utilizing a forklift and other applicable equipment as required to load or unload items. Distributes parts and supplies to internal customers and provides emergency delivery service as requested.
* Provides excellent customer service to internal and external customers and vendors when receiving, ordering, and distributing parts and supplies; Provides resources and information as requested. Adheres to required productivity standards, ensuring all customers are serviced in a timely and efficient manner. Executes and follows City policies and departmental operational procedures as pertaining to customer service.
* Reviews upcoming purchase orders and contracts for required parts and supplies to provide feedback and comments to procurement division personnel regarding availability. Researches and gathers competitive quotes for parts and supplies from vendors to assist leadership with negotiations needed to secure best pricing and lead times. Updates contract details in asset management software and ensures purchases meet City of Tucson's procurement and compliance requirements.
* Reconciles procurement card invoice purchases, enters labor charges, and other related data in relevant data systems. Reconciles procurement card invoice purchases and other related data in multiple Enterprise Resource Planning (ERP) systems and submits to finance personnel.
* Optimizes productivity by maintaining the cleanliness of the interior and exterior of assigned vehicles, keeps workspaces organized, and inspects the condition of tool inventory. Conducts safety inspections of fire extinguishers, exit lights, and eyewash stations in their work areas. Completes forklift and vehicle inspection checklists daily to ensure adherence to safety protocols and procedures.
* Performs all other duties and tasks as assigned.
Working Conditions
Work schedule may require early morning, late evenings, weekends, holidays, overtime, and on-call shifts. Often works under the following conditions: Indoor and outdoor work with exposure to physical, ergonomic, or hazardous environments, which includes but is not limited to dirt, grime, chemicals, loud noise, and unfavorable odors.

MINIMUM REQUIRED QUALIFICATIONS:
Education:
Six (6) months post high school
Work Experience:
Two (2) years of relevant experience
License:
Valid and Unrestricted Class D Driver's License.

COMPENSATION & BENEFITS
Full Hourly Range: $18.15 - 31.31 USD

Individual placement within the range is based on the candidate's current experience, education, skills, and abilities related to the position.
