The PAS is the first point of contact for patients and is responsible for interacting with guests in a healthcare setting and managing administrative tasks for the medical team. Their duties include scheduling patient appointments according to provider availability, explaining intake forms to new patients and processing payments after treatment. The PAS is also responsible for keep the area neat and clean at opening, closing and throughout the day as needed • Greeting patients professionally both in person and on the phoneESSENTIAL FUNCTIONS & RESPONSIBILITIES:Performs day-to-day administrative functions and general office duties including but not limited to handling money/credit card payments, copying, filing, faxing, answering phones and data entry.* Greeting patients/clients/visitors and insures they are retrieved by the appropriate personnel.** Quickly answering or properly referring questions and issues to the appropriate personnel* Optimizing provider schedules and patient satisfaction with efficient scheduling* Notifying providers of patient arrivals through the PM* Comforting patients by anticipating anxieties and effectively answering questions* Ensuring patient communication is updated in the EHR in patient records* Verifying financial records and collecting patient charges while filing and expediting third-party claims* Maintaining front desk office inventory is stocked by anticipating supply needs and placing supply orders through Accounts Payable* Provides information to patients that are administrative in nature only.* Directing medical questions to the appropriate medical personnel* Welcomes and greets* Schedule's patient flow to clinic based on predetermined appointment arrangements to allow the clinic to serve an adequate number of patients as established protocol.* When scheduling appointments, carefully screen patients for new addresses, new patient visits, verifying insurance and sliding scale family size and income changes. Informs patient of adequate information that must be presented at time of visit.* Adheres to all Clinic policies on safety and security; maintains restricted areas safe by safeguarding key-less entry codes and computer system passwords in strict confidentiality.* Must exercise utmost diplomacy and tact to provide excellent customer service for patients, practices confidentiality and privacy protocols in accordance with Clinic policies and HIPAA requirements.* Maintains patient waiting areas, office files, and front-desk areas in a manner that is organized and neat and clean.* Informs patient of any existing balance noted in computer and request patient he prepare for any payment due at the time appointment is verified.* Verifies method of payment for service (Medicaid, Medicare, private insurance, private payee, sliding fee discount program.) and collects data and/or payment as appropriate.* Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.* Cross trains in all functions attributed to the Patient Access Specialist Staff such as opening, closing and referral services.* Performs other duties as may be required.QUALIFICATIONS:* Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards.* Must have the ability to exercise a high degree of diplomacy and tact; excellent customer services and interpersonal communication skills; Cultural sensitivity and demonstrated ability to work with diverse people groups.* Intermediate to advanced phone skills; able to effectively relate via the telephone and in-person to serve the needs of Clinic patients/clients/visitors in a manner that is efficient and productive.* Must be highly flexible; able to accommodate changing needs of the department.* Well-developed verbal and written communication skills. Additional language abilities desirable.* Knowledge of basic math and modern office procedures.* Ability to work well under pressure with minimal supervision. Proven flexibility and willingness to handle a variety of tasks.* Willingness to work evenings or outside events as needed* Basic to intermediate computer knowledge and skills.TEAM DUTIES* Assists other members of the team as needed.* Acts in a professional manner reflecting the mission of Tri-Med Family Care Center and demonstrates an ability to remain calm during peak periods of activity.* Participates in training and orientation of new employees and on-going.* Communicates clearly, concisely, and accurately, creating a working climate that provides growth and job satisfaction of all personnel.* Works their regular assigned daily schedule and comes to work consistently so as not to put their co-workers in stressful situations by having to cover more than one job on a regular basis.PHYSICAL DEMANDS:* Requires full range of body motion including manual and finger dexterity and hand-eye coordination.TYPICAL WORKING CONDITIONS:Frequent exposure to illnesses, toxic substances, medical preparations, and other conditions common to a clinic environment. Fast paced organization. Multi-tasking required.
