Job Overview:
We are seeking a meticulous and detail-oriented Payment Processing Legal Assistant to join our team at Arnold & Smith Lawfirm, a leading consumer debt defense law firm. In this role, you will be responsible for ensuring the accurate and timely processing of client payments, managing payment-related queries, and assisting with financial transactions in accordance with firm policies and legal regulations. The ideal candidate will have strong organizational skills, an understanding of financial transactions, and a passion for providing exceptional service to clients in a fast-paced legal environment.
Key Responsibilities:
- Payment Processing:
- Process incoming payments from clients, including credit card transactions, wire transfers, checks, and other forms of payment, ensuring timely and accurate posting to client accounts.
- Reconciliation:
- Reconcile payments to the firm's accounting system, ensuring that all payments are accounted for and discrepancies are identified and resolved promptly.
- Client Interaction:
- Respond to client inquiries regarding payment status, billing issues, and payment plans, providing clear and accurate information in a professional manner.
- Compliance & Documentation:
- Ensure that all payments are processed in compliance with firm policies, legal standards, and privacy regulations (e.g., PCI DSS, FDCPA). Maintain proper documentation for all transactions.
- Payment Plans:
- Set up and monitor payment arrangements or plans for clients, ensuring that all terms are documented and adhered to by both the client and the firm.
- System Management:
- Work with the firm's payment processing crm to process payments and track all financial data. Help streamline processes for improved efficiency.
- Collaborative Work:
- Collaborate with attorneys, paralegals, and legal assistants and the payment processing team to address client account issues and ensure the smooth flow of financial transactions.
Qualifications:
- Education:
- High school diploma or equivalent required; Associate's degree or higher in accounting, finance, or a related field preferred.
- Experience:
- At least 1-2 years of experience in payment processing, accounts receivable, or billing, preferably in a law firm, legal services, or financial services setting.
- Skills:
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and deadlines efficiently.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and payment processing software.
- Understanding of payment regulations, including FDCPA and PCI compliance, is a plus.
