Job Description :
As a Payroll Administrative Assistant, you will be responsible for supporting our field operations' teams in the processing and delivery of payroll items weekly. This includes, but is not limited to:
  • Maintain employee confidence and protects payroll operations by keeping information confidential
  • Act as the first point of contact for employees with Payroll related requests (update direct deposit, W4, etc)
  • Develop, modify, and maintain departmental system and records for payroll processing
  • Accurate and timely processing of the weekly attendance and payroll for salary, hourly, and piece-rate employees and distribute paychecks
  • Payroll wage and hour knowledge
  • Verify CA break and lunch laws are followed
  • Verify overtime laws followed
  • Submit payroll on a weekly basis, accurately and on time.
  • Resolve payroll discrepancies by submitting payroll corrections
  • Manage employee time keeping. Partner with Production Manager on repeat offenders that do not clock in/out correctly
  • Ensure what is costed for labor and material does not exceed in large amounts what was included in customer's bid. Partner with Production Manager and/or Salesman as needed
  • Complete daily schedule sheets after payroll has been completed. Give to Billing upon completion
  • Verify Prevailing Wage amounts are accurate
  • Respond to payroll/billing audits from corporate
  • Knowledge of Prevailing Wage & Davis Bacon laws
  • Familiar with DIR wage setup and increases
  • Certified Payroll processing & DIR uploads
  • Experience using LCPTracker
  • Process of Fringe benefits and training payments
  • Apprentice Dispatching & Compliance Monitoring
  • Evaluate and submit all Certified Payroll through Company tracking tool to ensure compliance with labor laws and payroll regulations
  • Provide frequent reports and answer inquiries regarding payroll and benefits to employees and managers
  • Reconcile monthly health insurance bills and assist with benefit enrollments
  • Communicate with managers on payroll/HR related issues
  • Respond to payroll/billing audits from Corporate office
  • Utilize GPS system to validate scheduling and payroll information
  • Onboard new hires and offboard terminations
Preferred Qualifications:
  • High school diploma or equivalent; additional certification or training in office administration is a plus.
  • Experience with billing and payroll
  • Ability to assist with scheduling
  • Experience as an administrative assistant or in a similar role.
  • Proficient in using MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Attention to detail and problem-solving skills.
  • Ability to handle confidential information with discretion.
  • Professional and friendly demeanor with the ability to interact effectively with individuals at all levels.
  • Proficiency in both English and Spanish is preferred
Schedule: Monday - Friday Pay: $18.00 - $20.00 per hourPosition requires a drug test be completed, contingent upon employment and a background check if applicable.Physical demands:Reasonable accommodations may be made to enable individuals with disabilities to perform essential job functions.
