The Payroll and Benefits Specialist is responsible for managing and processing end - to - end Global payroll accurately and on time while ensuring compliance with relevant laws and regulations. This position also maintains responsibility for the administration of Global benefits programs.
What you will be doing:
Payroll Processing and Management:
* Perform and manage end-to-end Global payroll processing using HRIS/Payroll systems (multiple ADP systems, currently) for employees across multiple countries, states, and jurisdictions.
* Ensure timely and accurate processing of bi-weekly/monthly Global payrolls, including regular wages, overtime, bonuses, commissions, and additional pay adjustments.
* Ensure Global payroll deductions for taxes, benefits, retirement contributions, garnishments, and other deductions are processed and paid timely and in accordance with relevant laws and regulations.
* Reconcile and maintain Global payroll reports, resolve discrepancies, and make necessary adjustments for errors or omissions.
Benefits Administration:
* Administer Global employee benefits programs, including health insurance, dental, vision, life insurance, 401(k), flexible spending accounts (FSAs), and other voluntary benefits.
* Ensure US software set up for automated feeds are functioning to provide accurate enrollment, changes, and terminations of benefits. For Global benefits, ensure this information is coordinated and provided to relevant brokers and carriers timely.
* Ensure compliance with all Global benefits regulations (e.g., ERISA, ACA, COBRA, Pension) and assist employees with benefit-related questions and claims.
* Manage and administer open enrollment processes, ensuring clear communication, and data entry, if needed.
Compliance and Reporting:
* Ensure payroll and benefits processes comply with federal, state, and local regulations, including tax filing requirements (e.g., 941s, state unemployment filings).
* Ensure all Global payroll tax reports are filed timely, ensuring accuracy and compliance.
* Coordinate with internal and external auditors for payroll and benefits-related audits, ensuring accurate reporting and documentation.
* Ensure accurate data is maintained in HRIS/payroll system for benefits-related government filings (e.g., Form 5500, ACA compliance reporting or other Global filing requirements).
Employee Support and Inquiries:
* Serve as a key point of contact for Global employees regarding payroll and benefits questions, including issues with pay, deductions, benefits enrollment, and claims.
* Troubleshoot and resolve Global payroll or benefits-related discrepancies in a timely and professional manner.
* Provide support and training, if needed, to Global employees regarding payroll processes and benefits programs.
System Maintenance and Data Integrity:
* Maintain accurate employee payroll and benefits data in HRIS/payroll system, ensuring updates for new hires, terminations, salary changes, tax withholding, and benefits elections.
* Assist in optimizing HRIS/payroll software to streamline payroll and benefits processes, ensuring data integrity and automation where possible.
Ad-Hoc Reporting & Special Projects:
* Generate payroll and benefits reports for internal stakeholders, including management and HR, including standard and ad-hoc reports, if needed.
* Participate in or lead special projects, such as benefits audits, system upgrades, or payroll process improvements.
* Maintains knowledge of legal updates, trends, developments, and best practices in payroll and benefits administration.
* Performs other related duties as assigned.
Minimum Qualifications:
* Bachelor's degree in business administration, Finance or other related field and 3+ years of relevant work experience in Global payroll processing and benefits department or equivalent combination of education and experience
* Proficiency in Global payroll processing software, ADP Workforce Now preferred
* Advanced knowledge of Microsoft Word and Excel
* Knowledge of state and federal payroll and tax rules and regulations required
* Experience with global payroll processing and international payroll laws and regulations, preferred
* US Benefits administration experience needed; global experience preferred
* Maintain a high level of security and confidentiality of sensitive information and strong work ethics.
* Strong written and oral communication skills
* Must be able to work in a fast-paced environment with multiple competing priorities
