Payroll Manager

Description:The Payroll Manager is responsible for the administration, accuracy, and timeliness of payroll and directing the daily activities of the payroll staff related to the processing, auditing, analyzing, and reporting of payroll processing. The role will oversee the processing of approximately 3,000 employees, including full-time and part-time faculty and staff, in addition to student employment.
This role oversees payroll operations, including:
- Ensuring timely processing of weekly, bi-weekly, semi-monthly, and monthly payrolls, reviewing payroll processing for accuracy before transmission to Paylocity.
- Taxes and garnishments
- Reconciliations and check distribution
- Collaborating with HRIS administrator for Kronos
- Collaborating with Benefits administrators for Paylocity
- Acting as Systems Administrator for Paylocity, liaising with account representatives.
- Must possess problem-solving skills, manage departmental needs, coach staff, and enhance efficiency.
This position reports to the Controller and directly supervises three payroll specialists.
Responsibilities:
- Review and approve Personnel Action Forms (PAF) for accuracy and timely payroll processing.
- Reconciliation of Paylocity's preprocessed export reports before payroll transmission.
- Review and approve payroll journal entries for reconciliations.
- Act as a liaison between Human Resources, Payroll Staff, and the community.
- Ensure accurate calculation of yearly salary increases.
- Recommend and assist in developing and implementing new policies and procedures.
- Work closely with IT department to ensure payroll data integrity.
- Assist with Fiscal Year-End and union audits.
- Reconcile payroll processing to the general ledger monthly.
- Review and approve W-2s in preparation for timely release.
- Ensure timely filing of IRS reports and tax deposits.
- Assist with periodic analysis and reconciliation of payroll accounts.
- Provide technical and procedural assistance to payroll staff.
- Troubleshoot Paylocity self-service issues.
- Assist with system transitions and upgrades.
Qualifications:
Education:
- Bachelor's degree in business administration, accounting, or a related field
- In lieu of the education requirement, 4 years of experience in payroll administration and processing will be accepted.
Experience:
- 5 years of payroll experience, higher education a plus.
- 3 years of supervisory experience in general ledger and integrated accounting systems.
- Knowledge of payroll accounting principles and applicable laws.
- Experience with Paylocity, NextGen, and Kronos.
Skills:
- Proficiency in Ellucian Colleague ERP system or similar systems.
- Proficiency in MS Office and Google Suite
- Strong organizational, communication, and analytical skills
- Ability to work effectively in diverse environments.
Salary and Benefits:
- Salary is competitive and commensurate with experience and qualifications, ranging from $65,000 to 70,000.
- The position will operate on a hybrid work schedule.
