Once a summary page appears, hover your mouse over the orange Action button for a list of possible approval step options.Position Information Position Title Payroll Specialist Status Full Time Job Summary The payroll specialist will be able to assist in the daily operations of the payroll processing in alignment of with the offices of payroll and human resources of the University. This position reports to the payroll manager under the direction of the associate vice president for business and financial affairs/controller.Essential Job Duties
- Analyze, process, and maintain all payroll adjustments, leave payouts and corrections.
- Identify any payroll discrepancies and resolve issues on a timely basis working with Office of Human Resources
- Serve as the university liaison to obtain information required for these transactions; resolve all payroll issues to ensure employees are paid in a timely manner
- Serve as main point of contact for the payroll department and provides a high level of immediate customer service to staff, and faculty via telephone calls, email, or office visits for request such as needing forms and/or with payroll related questions-including conducting necessary research and taking action to resolve issues
- Meet fixed and fluctuating deadlines while working mid to high volume payroll cycles to achieve work objectives coordinating with Payroll Manager
- Process of paperwork for all exempt, non-exempt, faculty, and students including new hire/change information and ensuring accuracy and completeness of the paperwork submitted. Document types could include faculty contracts, additional compensation to faculty, flat rate, state and federal tax forms, pay advances. stop payments, and wage investigations
- Maintain payroll records
- Verify address change forms received from HR are entered correctly into the system, and confirming any necessary payroll tax changes are made and tax forms are received. Also, for filing the forms electronically according to the current electronic employee file structure.
- Update individual files on every employee of the university
- Run and save bi-weekly leave accruals for Vacation, Sick Leave and Personal Leave, review the reports for negative balances, process applicable adjustments and communicating to employees and supervisors before and after leave is processed for each payroll
- Responsible for working closely with Payroll Compliance Coordinator and Accounting Manager at fiscal and calendar year end to complete all payroll processes and related tasks on an accelerated basis
- Responsible for assuring compliance with the College's structure of internal controls, especially as it applies to payroll preparation
- Collaborate with Human Resources Department to ensure accurate data is utilized for payroll processing
- Shared responsibility for monitoring Payroll email account
- Perform other duties as assigned to assist in the completion of the payroll/human resources functions
Qualifications (Education, Experience and Specialized Training)
- Associate's degree in business or accounting (required)
- 2-3 year's minimum payroll experience (required)
- Bachelor's degree in business or accounting (preferred)
- Five years or more payroll experience (preferred)
- Two years of college/university accounting experience (preferred)
