Position Overview:
As a Payroll Specialist at Mohawk Global, you will be at the forefront of delivering top-notch Payroll administration to a diverse demographic of colleagues in multiple states and Canada. This role is pivotal in ensuring that our organization operates in full accordance with international, federal and state laws and regulations and is responsible for maintaining compliance across our workforce and in response to evolving needs. You will leverage your proven organizational and communication skills, and expertise and experience in payroll administration to make a meaningful and significant impact. Key Responsibilities (other duties may be assigned):
* Payroll Administration:
* Serve as the subject matter expert (SME) and specialist in company payroll including accurate and efficient processing within strict deadlines
* Project lead on the 2025 conversion from a semi-monthly to bi-weekly payroll schedule
* Collaborate with Benefits to ensure proper pay for employee leaves including STD, LTD, FMLA and state-specific
* Ensure adherence to employment regulations and federal/state overtime rules and salary thresholds
* Provide new employee ADP pay/time off program training
* Work closely with Benefits and Accounting to ensure accuracy and to research and resolve discrepancies
* Serve as lead on annual payroll audit and assist in annual 401(k) audit
* Responsible for end-of-year payroll processes such as accurate issuance of W2's, as well as preparation for new year payroll processes
* Prepare and provide various pay, overtime, paid time off and employee reports to all levels of leadership, maintaining confidentiality and discretion
* Compliance
* Collaborate with leadership to identify and address potential risks and areas of non-compliance
* Draft and manage policies and procedures to uphold regulatory mandates and internal requirements
* Coordinate with the People & Culture Team and external HR vendor to deliver a comprehensive and compliant employee handbook for both US and Canada
* Join industry associations, subscribe to SHRM and relevant newsletters/publications, attend legal seminars, and regularly review government websites to stay current on federal and state laws and regulations
* Assist all levels in the organization with understanding and administering policies and procedures related to laws and regulations
Skills and Qualifications:
* Experience:
* Proven experience in payroll administration and compliance enforcement
* Demonstrated ability to clearly communicate, present, and organize large amounts of evolving information
* Prior experience in payroll administration across multiple states and Canada is preferred
* Skills:
* Proficient in Outlook, Teams, Excel and Word; experience with ADP WorkforceNow and/or the ability to quickly learn new software
* Strong communication skills, with a proven ability to both speak and write with the highest degree of accuracy
* Professionalism, confidentiality and the utmost level of discretion at all times
* Ability to manage multiple projects and tasks simultaneously, maintaining strong attention to detail
* Must possess excellent time management and organizational skills, with the ability to produce high-quality work under strict deadlines.
* Education:
* Bachelor's degree in Human Resource Management or a related field is preferred, or at least five (5) years of relevant experience
* Certification as a Payroll Professional (CPP) is preferred
