Position Summary:
Under the supervision of the Risk & Benefits Manager, this position is responsible for processing payroll and associated transactions for the district. Responsibilities include processing timesheets for employee payroll, maintaining accurate records of payroll benefits, insurance and deductions.
Qualifications:
Education/Experience:
* High school graduation or equivalent with training in accounting/bookkeeping & payroll procedures.
* Three years of accounting/bookkeeping work experience, including one year of payroll experience.
* School district accounting experience preferred.
* Experience working in the WESPaC database and proficiency using Excel preferred.
Primary Responsibilities/Duties:
* Prepare and process monthly payroll for district employees. Receive and verify timesheets and related forms for hourly employee payroll; confirm and assign budget codes; input information into the WESPaC system; run reports and balance hours to actual timesheet calculations.
* Maintain employee/payroll work history files. Maintain records of employee payroll benefits and deductions, such as health, dental and vision insurance, retirement, salary, life insurance, union dues, credit union transactions and annuities. Sets up a system of controls to double-check accuracy of information for all deductions and benefits, maintain accurate vendor records.
* Receive warrants and prepare for mailing. Mail benefit and investment warrants going to companies after amounts are balanced to vendor billings.
* Provide information to new and current employees regarding payroll procedures, deductions, personal income and leave history. Maintain annual hours' accumulation records for leave benefits. Respond to employee questions concerning payroll errors or changes in deductions; provide information and research records as necessary.
* Provide payroll data information by researching and summarizing data.
* May assist in the processes performed by various members of the Business Office and other departments as needed.
* Work collaboratively with other departments in the Administration Building to include data-entry, filing, etc.
* Perform duties effectively and efficiently and meet all established timelines.
* Work cooperatively with school district employees and the public.

Knowledge/Skills/Abilities:
* Knowledge of general bookkeeping and payroll processing procedures.
* Knowledge and skills in the operation of office equipment, computers, spreadsheets, word processing and communication software.
* Skill in operating a ten-key calculator by touch.
* Possesses good listening skills; is able to express thoughts clearly in verbal and written communications.
* Knowledge or ability to learn federal, state and district rules and regulations concerning payroll.
* Has good organizational skills; meets timelines appropriately.
* Ability to work in team environment.
* Ability to maintain a high level of confidentiality.
* Ability to effectively communicate through written means.
* Ability to maintain and set up accurate records.
* Ability to work effectively under pressure, set priorities, and be flexible to meet deadlines.
* Ability to work independently with minimal supervision.
* Ability to establish and maintain effective working relationships with students, staff, and public.
* Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
* Ability to calculate figures, amounts and percentages.
* Ability to apply common sense understanding to complete instructions provided.
* Ability to perform duties with awareness of all district requirements and board of education policies.
* Show initiative in ability to learn new skills and look for efficiencies in current processes. Assist other personnel to support them in completion of their work activities.
Physical Demands/Work Environment:
While performing the duties of this job, the employee is regularly required to operate a computer using a keyboard and mouse, sit and talk, or hear. The employee is occasionally required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds, such as payroll reports. Specific vision abilities required by this job include close vision and depth perception. Experiences frequent interruptions. The noise level in the work environment is usually quiet.
