Job Duties
Virginia Military Institute is accepting applications for a full-time employee to serve as a Payroll Technician working in the Office of Finance & Budget, reporting to the Payroll Manager. The successful candidate will assist with processing semi-monthly payrolls, reconciling health care and retirement contributions; taxation of out-of-state employees; quarterly and annual reports, and electronic filing of employee records. The Payroll Technician will work collaboratively with the offices of Human Resources, Accounts Payable, and Student Accounting.
Essential Responsibilities and Duties:
* Review and enter hourly timesheets for overtime and straight time payments.
* Process employee tax and direct deposit forms.
* Compute and enter pay period adjustments for employee pay and benefits.
* Prepare and submit employee direct deposit file each payday.
* Verify the accuracy of completed forms and payroll entries, ensuring that authorized deductions are withheld from employees' pay and remitted to the proper agencies/vendors in a timely manner. Prepare journal entries and reconciliations.
* Reconcile health care and submit monthly and quarterly reports to the Virginia Department of Human Resource Management.
* Assist in filing quarterly and annual payroll reports, including unemployment and tax reports.
* Establish state withholding and unemployment accounts for out-of-state employees and submit required quarterly and annual reports.
* Move pay and benefit documents to employee electronic files at the end of each pay period.
* Must maintain high level of confidentiality and security of payroll records.
Minimum Qualifications
* High school diploma or equivalent.
* Experience in payroll processing and bookkeeping.
* Office experience with exemplary computer and mathematical skills; proficient in Microsoft Excel, Word, Outlook, and Adobe.
* Meticulous attention to detail.
* Exceptional interpersonal skills with a strong team orientation.
* Excellent written, listening, and oral communication skills.
* Excellent time management, organizational, and analytical skills.
* Ability to multitask, meet deadlines, and show initiative.
Additional Considerations
* Two years of payroll experience.
* Working knowledge of payroll best practices, including compliance with federal and state regulations.
