Auxiliary - Position - Other Job Number 000####### Start Date Open Date 10/29/2024 Closing Date Attachments View Attachment 1 Job Title:Special Education/PEIMS ClerkDept./School: Special EducationReports to:Special Education DirectorDate Revised: 7/2024Primary Purpose:Under direction and supervision of the Director of Special Education perform data entry including, Public Education Information Management system (PEIMS) data and grades.Qualifications:Education/Certification:High school diploma or GEDSpecial Knowledge/Skills:Some knowledge of Special Education Services is desirableComputer skills including use of word processing, spreadsheet and database systems Proficient keyboarding, file maintenance and 10-key skillsAbility to follow verbal and written instructionsAbility to transport self, files, and supplies among multiple campuses and administrative offices Ability to multi-taskAbility to meet established deadlinesAbility to be flexible and handle interruptions while maintaining attention to detail Ability to deal with a variety of personalities and maintain a professional demeanorExperience:Two years or more of previous data entry experienceMajor Responsibilities and Duties:
Collect PEIMS data into established database and verify accuracy of according to establishedPrepare and print reports, including attendance reports, grades, class or personnel rosters, end-of-semester reports, or accounting reports.Maintain physical and computerized records of special education eligibilityProcess new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.Process and transmit requests for student information andOther 6. Assist with answering incoming calls, taking messages, and routing to appropriate 7. Assist with the receipt, sorting and distribution of mail and other documents to department staffMaintain confidentiality of all officeDevelop and maintain effective communication and working relationships with special education office, district, and contracted staff.Upon written request, release student information from Special Education eligibility records to requesting individuals, agencies, etc. in accordance with FERPA guidelines and departmentCoordinate with all departments (diagnosticians, psychologists, speech language pathologists, related services and special education compliance departments) to receive and file reports as necessary.Maintain Special Education eligibility folders with accuracy andProcess incoming records; Uploads them to the appropriateDuplicate and disseminate forms, programs documents, andAssist in regular file reviews to ensure compliancy including verifying the presence ofSend ARD notice to parents so it will reach them before the 5-day timeCall parents to remind them of the meeting on or about the day before the meeting and confirm that they plan to attend.
