Key Responsibilities

  • Update data in the HRIS system to ensure that employee records are kept accurate and complete, including for onboarding, offboarding, promotions, transfers, and terminations
  • Serve as first point of contact for employee inquiries related to benefits, time and attendance, and first day paperwork. Oversee onboarding and candidate experience efforts, including conducting new employee and benefits orientations.
  • Maintain company organizational charts, update job descriptions, and conduct employee censuses as necessary.
  • Process life event, demographic, insurance, address, and payroll changes collecting relevant paperwork and updating Department records to reflect such.
  • Complete detailed breakdown and allocation of benefit premiums monthly. Coordinate with AP to ensure timely payment of invoices.
  • Send New Hire and Termination notices to necessary parties (Payroll, Information Technology and Building Office).
  • Send cancellation notices for terminated employees with corporate gym memberships.
  • Initiate new hire orientation, to include reviewing and collecting necessary information (personnel information, tax forms, DOL pay rate notice, payroll documents, etc.) and fielding employee inquiries.
  • Coordinate and track attendance for Wellness Month activities, the Health Fair, and other special events.
  • Direct timekeeping process for non-exempt employees auditing timesheets for accurate categorization of time and FLSA status as well as timely sign off by supervisors.
  • Manage voluntary exit process, to include disseminating relevant paperwork and advising employees of benefit expiration timelines, COBRA, return of property, etc.
  • Administer and monitor COBRA enrollments, terminations, and plan changes.
  • Collaborate with corporate and union AP teams to complete accurate and timely submission of the EEO-1 report.
  • Assist in preparations of annual People Experience budget and reforecast activities.
  • Monitor and provide timely response to all inquiries made to the People Experience inbox and e-mail distribution.
  • Collect work authorization documentation, ensuring work eligibility for each employee.
  • Assist with ACA audits and compliance.
  • Assist with research, coordination, and outreach for People Experience projects as needed.
  • Manage and track compliance related to company processes.
  • Reconcile and process invoices in Yardi.
  • Skills and Qualifications: Education and Experience Bachelor's degree (BA/BS) from four-year college or university and 1-3 years' experience in an administrative role. Experience administering employee health, welfare, and retirement programs.

    Communication Skills: Must demonstrate strong interpersonal skills and superior verbal/written communication skills. Attention to detail required.

    Other Skills and/or Abilities: Proficient in Microsoft Office (Word, Excel, PowerPoint) required. Additional experience in Microsoft Visio and Adobe Suite is preferred.
