Position Summary & Job Description
The Personal Assistant will provide comprehensive, confidential, and top-tier support to the Family Office of a NFL team owner. It is critical the Personal Assistant is organized, detailed, and has strong communication skills. This position requires a high degree of professionalism and interpersonal skills to manage a range of white-glove responsibilities with precision and a proactive approach.
The Personal Assistant must be willing to travel, maintain a high level of discretion and confidentiality, be comfortable with dogs, and be willing to work nights and alternative hours as needed.
Responsibilities
- Leverage technology platforms to manage the calendar of the family and staff and communicate plans to all family members and staff on a regular basis.
- Assist with monitoring bills and vendors activities with estate manager and bookkeeper.
- Manage correspondence, mail and home office filing system for family office.
- Schedule and manage appointments with medical providers, vendor groups and various business professionals.
- Shop for groceries and supplies as required.
- Complete various errands and drive family members and pets as needed.
- Schedule health and wellness appointments as needed and coordinate caregiving schedules with medical team and caregiving service provider.
- Assist the housekeeper in care of family pets.
- Assist other staff on family “special events.”
- Arrange and coordinate special events and family travel with private charter companies.
- Other duties as assigned or needed.
Qualifications, skills, and abilities
- Bachelor's degree required.
- Proven experience as a Personal Assistant, Executive Assistant, or in a related role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Familiarity with office gadgets and applications (e.g., e-calendars, project management software).
- Exceptional organizational and time management skills.
- Ability to prioritize tasks and manage multiple responsibilities efficiently.
- Excellent verbal and written communication skills.
- Professional demeanor in person, over the phone, and in written communications.
- Ability to handle confidential information with discretion, professionalism and be willing to sign a non-disclosure agreement.
- Willingness to work flexible hours and adapt to changing demands and priorities.
- Strong problem-solving skills, the ability to make decisions independently, anticipate needs and proactively address them.
- Strong interpersonal skills, with the ability to build positive relationships with family members, employees, and vendors.
- Must be available during specified working hours and potentially outside of standard hours as needed.
- Valid driver's license required.
Compensation ($125,000 - $175,000)
