Position Summary & Job Description

The Personal Assistant will provide comprehensive, confidential, and top-tier support to the Family Office of a NFL team owner. It is critical the Personal Assistant is organized, detailed, and has strong communication skills. This position requires a high degree of professionalism and interpersonal skills to manage a range of white-glove responsibilities with precision and a proactive approach.

The Personal Assistant must be willing to travel, maintain a high level of discretion and confidentiality, be comfortable with dogs, and be willing to work nights and alternative hours as needed.

Responsibilities

  • Leverage technology platforms to manage the calendar of the family and staff and communicate plans to all family members and staff on a regular basis.
  • Assist with monitoring bills and vendors activities with estate manager and bookkeeper.
  • Manage correspondence, mail and home office filing system for family office.
  • Schedule and manage appointments with medical providers, vendor groups and various business professionals.
  • Shop for groceries and supplies as required.
  • Complete various errands and drive family members and pets as needed.
  • Schedule health and wellness appointments as needed and coordinate caregiving schedules with medical team and caregiving service provider.
  • Assist the housekeeper in care of family pets.
  • Assist other staff on family “special events.”
  • Arrange and coordinate special events and family travel with private charter companies.
  • Other duties as assigned or needed.

Qualifications, skills, and abilities

  • Bachelor's degree required.
  • Proven experience as a Personal Assistant, Executive Assistant, or in a related role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Familiarity with office gadgets and applications (e.g., e-calendars, project management software).
  • Exceptional organizational and time management skills.
  • Ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Excellent verbal and written communication skills.
  • Professional demeanor in person, over the phone, and in written communications.
  • Ability to handle confidential information with discretion, professionalism and be willing to sign a non-disclosure agreement.
  • Willingness to work flexible hours and adapt to changing demands and priorities.
  • Strong problem-solving skills, the ability to make decisions independently, anticipate needs and proactively address them.
  • Strong interpersonal skills, with the ability to build positive relationships with family members, employees, and vendors.
  • Must be available during specified working hours and potentially outside of standard hours as needed.
  • Valid driver's license required.

Compensation ($125,000 - $175,000)
