POSITION DUTIES AND QUALIFICATIONS SUMMARY OF DUTIES:Processes, maintains, retrieves, and distributes criminal records information for internal and external customers. This is an entry level classification within the Police Records series. Each level is distinguished by increasing levels of complexity, judgment and responsibility, as well as defined technical expertise.
DUTIES AND RESPONSIBILITIES:*Position Specific Summary The Police Records Specialist I position at the City of Tucson's Police Department performs clerical and customer service work while learning specialized systems and procedures to support the daily operations of the division/section. Work is performed under the supervision of a Police Records Supervisor. This position does not supervise others.
Duties and Responsibilities- Answers multi-line telephone calls from community members. Assists citizens and law enforcement partners with copies of reports, background information, and research assistance. Responds to email and US mail correspondence to provide copies of redacted reports, visa letters, etc. Conducts manual and automated searches to retrieve crime information, as requested. Distributes information from filed reports for external and internal requests.
- Sorts incoming paperwork, maintains archives and files warrants. Responds to requests from the public and law enforcement personnel. Determines the requestor's right to information based on local, state, and federal guidelines and redacts appropriately. Accesses one or more databases and specialized software systems to gather information. Makes copies of files. Collects fees from requestor, when required. Processes information in accordance with laws to avoid civil and criminal liability to accurately distribute paperwork. Receives, coordinates and disseminates critical information from active police patrol units to multiple sources and resources based on published protocols and defined standards. Maintains confidentiality while completing projects and training.
- Enters and maintains information in the department tracking systems, including local wanted/missing persons and property records. Meets time constraints to satisfy biennial audit requirements set by the Department of Public Safety and Federal Bureau of Investigation. Reviews paperwork completed by law enforcement personnel to ensure compliance with federal guidelines.
- Performs all other duties and tasks as assigned.

MINIMUM REQUIRED QUALIFICATIONS:Education:High school diploma or equivalent
Work Experience:One (1) year of directly related experience
License: Any combination of relevant education and experience may be substituted on a year-for-year basis.

Special Instructions:Must be able to type 35 net words per minute (WPM)Must be able to obtain Terminal Operator Certification (TOC): Level A within four weeks of hire.Incumbents in this position are exposed to highly sensitive and graphic material collected from crime scene investigations to include: bloody crime scenes, death scenes as a result of natural causes, suicide, or homicide; child molestation or child abuse investigations; family fights/abuse that involve severe injuries.Must be available to work days, nights, weekends and holidays.The training process is extensive; incumbents will spend 90 days reviewing written procedures along with a required successful completion of on-the-job training. The probation period is 18 months.Applicants for this position will be required to complete a Preliminary Applicant Questionnaire which will be emailed separately.The selection process will include a written assessment (tentatively scheduled for Saturday, February 8, 2025), a typing test, and a hiring interview (tentatively scheduled for the week of February 27, 2025).Candidates placed on the Civil Service Eligibility List who receive a contingent offer must successfully pass the following:*An extensive background investigation, including local, state and national criminal and fingerprint checks.Physical and lifting abilities/requirements are determined by position and are included in the position description.
