Description Area of Talent: Asset Management/Affordable Housing Position Type:Full Time/Exempt Salary Range:$60,000 - $70,000 annually Location:NYC/Financial District Position Summary: The Portfolio Coordinator provides support to the Asset Management Division. This role will serve as the primary liaison between Portfolio Analysis, Engineering and Architecture, and external partners to ensure that findings from HDC's annual physical inspections are addressed. The Portfolio Coordinator will play a key role in driving efficient and timely operations, handling a variety of tasks essential to achieving departmental goals. This position will report to the Assistant Vice President of Portfolio Analysis and work closely with team members across Asset Management. Responsibilities:
- Serve as a critical intermediary between Portfolio Analysis and Engineering & Architecture teams, as well with managing agents, and property owners to facilitate the review and resolution of inspection reports in a timely matter.
- Monitor the progress and submission of inspection reports, ensuring timely completion, while coordinating with managing agents and property owners
- Coordinate meetings with HDC partners to address both immediate and long-term physical and maintenance concerns.
- Track past-due notices and other critical metrics to ensure accurate monitoring and reporting.
- Assist in compiling data for reports and presentations to senior leadership.
- Coordinate with internal team members to distribute, collect, and manage necessary documentation to support operations.
- Identify opportunities to streamline administrative processes to improve efficiency and effectiveness across the division.
- Develop and update standard operating procedures for recurring tasks and workflows.
- Support other special projects and initiatives as assigned by division leadership.
- Provide backup support for other administrative roles within the division as needed.
Required Qualifications:
- A bachelor's degree or equivalent experience in administration, business, or a related field
- 2+ years of experience in administrative or coordination roles, preferably in real estate, asset management, or a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint, OneNote).
- Strong organizational skills with attention to detail and ability to multitask.
- Excellent verbal and written communication skills.
- Ability to work collaboratively with diverse teams and manage competing priorities.
Preferred Qualifications:
- Experience in affordable housing programs, real estate property management, and property maintenance.
- Familiarity with NYC building codes, building systems and construction terminology.
