Position Title Postal Services Coordinator Overview

St. John Fisher University is an independent, liberal arts institution that provides a transformative education to approximately 3,800 undergraduate, master's, and doctoral students each year. Job Responsibilities

Supervision and performance of all mail delivery functions including pick-up, delivery, and processing of all classes of mail, parcels, & packages.

Production

Performance and supervision of Postal Center operations including reception, sortation, and delivery of mail and packages from various carriers, (USPS, UPS, FedEx, & others). Pick-up and delivery of campus mail at USPS General Mail Facility. Packaging and processing outgoing mail and packages in accordance with USPS, UPS, and FedEx regulations, operating postal equipment. Performing campus delivery runs in Kearney Administration Building and all other campus locations as necessary. Forwarding of mail and packages to students who have moved off campus. Frequent lifting of heavy packages and large containers of mail.

Customer Service

Assessing daily workflows & requests and adjusting resources & service levels accordingly to prioritize and accommodate campus department needs. Assisting at service counter, answering phones and email, selling postage. Assisting with package and mail inquiries utilizing all available resources, including troubleshooting mislabeled or misdirected items.

Administrative

Reconciling postage meter, UPS/FedEx, and bulk mail account balances for chargebacks. Justifying tracking system delivered/undelivered reports daily. Maintaining records for the Business Reply and Postage Due accounts. Updating and maintaining high-density mail folders for student First-Class mail. Working with on-campus departments to maintain residential student lists for reference and imports to package tracking system. Maintain department chargebacks lists.

Supervisory

Coordination of Postal Services Assistant's daily tasks and responsibilities. Supervision of work study employees which involves direct and indirect responsibilities for interviewing, selection, training, on equipment utilization, software and work processes, and all practices, policies, procedures, and regulations pertinent to the job. Oversee and ensure that all daily/weekly work is completed in accordance with set department standards. Regularly track and oversee day-to-day performance of the production team as to output, cost, quality, customer service. Communicate staffing needs and notifications regarding shift coverage, vacations, and absences.

Other

Keeps Manager of Print and Mail Services apprised of performance, including any employee issues, or highly sensitive, critical, or unusual situations or events that may occur. Performing other miscellaneous duties such as updating signage, cleaning work areas and equipment, covering Print Center window and phones as necessary. Other duties as assigned.

Education / Experience

High School graduate.

Two years of mailing services experience is desirable. Aptitude for math, mechanical skills for working with machinery. Proficiency in Microsoft Word, Excel, and Outlook preferred.

Must have valid driver's license.

Competencies / Skills

* Must have supervisory experience (training and monitoring others' work) and display strong verbal and written communication skills.

* Must be able to lift heavy packages, large containers of mail and operate equipment.

* Must have strong computer skills and know how to repair and maintain any equipment in the Mailroom.

* Should be able to read accurately, quickly and have solid finger and manual dexterity.

* Need to be organized, work independently, and meet deadlines.

* Must pay close attention to detail.

* Punctuality

Supervision of Employees

Coordination of Postal Services Assistants, supervision of student employees.

Work Environment

Well lighted, air-conditioned work area. No windows, concrete floors. Outdoor delivery routes in all types of weather conditions; foot, vehicle.

Equipment to be Used

PC driven postage/mail processor, package tracking terminal, FedEx shipping terminal, PC with Microsoft suite of products, various other related finishing and mailing machines.

Job Type Full-time Work Hours

40 hours per week

Monday - Friday 7:30am - 4:30pm
