We are seeking a versatile and highly motivated Practice Manager to help establish and grow our established and growing surgery practice in Manhattan, NY. In the initial phase, the candidate will be expected to function as a Medical Assistant/Secretary while also assisting with marketing and business development efforts. As the practice grows, this role will evolve into a full-time management position overseeing operations, staff, and strategic development. Future travel to New Jersey and other boroughs may be required as the practice expands.
Key Responsibilities:
Initial Responsibilities (Start-Up Phase):
- Assist with patient intake, medical history documentation, and basic clinical duties.
- Patient insurance verifications, imaging and surgical authorizations along with surgical scheduling will be a main focus.
- Schedule appointments, follow-ups, and surgical procedures, while coordinating with insurance providers.
- Manage patient charts and records in compliance with HIPAA regulations.
- Support marketing initiatives, including social media management, referral outreach, and engagement.
- Help create patient education materials and promotional content to enhance brand awareness.
Evolving Responsibilities (Growth Phase):
- Oversee daily practice operations, ensuring efficiency in patient flow and administrative tasks.
- Manage staff recruitment, training, scheduling, and performance evaluations.
- Implement and optimize electronic medical records (EMR) systems and office procedures.
- Ensure compliance with HIPAA, OSHA, and other healthcare regulations.
- Oversee billing, coding, and insurance claim management to ensure timely reimbursements.
- Develop and enforce policies and procedures to enhance patient care and operational effectiveness.
- Build and maintain relationships with referring physicians, physical therapists, chiropractors, etc.
Qualifications:
- Education: Bachelor's degree in Healthcare Administration, Business Management, or a related field preferred.
- Experience: Minimum 3-5 years of experience in medical practice management, with prior experience as a Medical Assistant, Secretary, or Administrative Coordinator being a plus.
- Skills:
- Strong leadership, organizational, and multitasking abilities.
- Proficiency in electronic medical records (EMR) systems
- Experience with insurance billing, coding, and revenue cycle management.
- Ability to support marketing and business development efforts.
- Knowledge of healthcare compliance regulations (HIPAA, OSHA).
- Excellent communication and problem-solving abilities.
- Primary location: UES and Flatiron - Manhattan, NY, with possible future travel to New Jersey and other boroughs.
- Office and clinical setting within a spine surgery practice.
- Requires adaptability in a fast-paced and growing medical environment.
- Competitive salary: $70,000-100,000 annually, based on experience and qualifications. There will also be a bonus structure in place with scheduled reviews.
