All employment is decided on the basis of qualifications, merit, and business need.ABOUT THE JOBThe Coordinator of Private Client Group (PCG) for Wilson Daniels will work exclusively in a division of the company focused on Wilson Daniels' Direct-to-Consumer business in which some of the rarest and most collectible wines in the import portfolio are offered for sale to an invitation-only group of the country's most dedicated and passionate collectors. The coordinator will be responsible for the administrative, client profiling, and event support functions of the PCG. The coordinator will assist the Vice President in his execution of exclusive client dinners and collector trips and as well as the curation and execution of sales offerings. The role can be in our New York office or downtown Napa office.This position will report to the VP but will also work closely with the PCG Associate Manager. This position will have an active role in a small and dynamic team, responsible for one of the most rapidly evolving and growing divisions in the Wilson Daniels organization with great capacity for personal and career growth.ESSENTIAL FUNCTIONS/THE DAY-TO-DAYManagement of the client database to ensure accuracy of all client data. Research and record client preferences to deepen engagement and offer bespoke client service.Assist the VP with travel planning, booking, and expense reporting.Receive, organize, and maintain all documents and correspondence pertaining to PCG Sales Offerings.Manage PCG events calendar and work with the Creative Services Department to create invitation and marketing assets for all PCG events.Liaise with restaurants, hotels, and other vendors directly to assist in the planning and execution of PCG events, client trips, and engagement initiatives to the highest standards of excellence.Assist the Associate Manager as needed with respect to client order processing and fulfillment.Directly communicate with clients on event and offering related matters and provide exceptional and timely client service.Collaborate with the business intelligence team to maintain data integrity.Assist in the creation, editing, and proofing of Offering materials necessary for the sales growth of the PCG division.Handle ad-hoc tasks as needed.is not intended to be a comprehensive list of the duties and responsibilities of the position and that the duties and responsibilities may change without notice.AM I THE RIGHT FIT?Not everyone can be a Private Client Group Coordinator. To be seriously considered for the role here is what you'll bring:Education & Experience:Bachelor's degree required.1-2 years' experience with fine wine preferred including but not limited to experience at a fine dining restaurant, auction house, or fine wine retailer.WSET and/or CMS credentials preferred.Travel Required: 5 - 10%Location:New York City, NY or Napa, CASkills:Work proficiency with Microsoft Office Suite, particularly Microsoft Excel required.Experience with inventory management, ERP, and related operations systems software platforms preferred.Be able to maintain an organized administrative-heavy workload and demonstrate extreme attention to detail.Ability to work in a collaborative team environment with small team of personnel working closely together.Strong ability to multi-task and maintain diverse workload consisting of numerous short and long-term objectives and projects with ability to prioritize and achieve deadlines.Displays initiative and excels without requiring constant direct supervision.Extreme professionalism, discretion, and strong communication skills in all aspects of client-facing communication and service. Working with high-touch clientele used to a luxury client experience.Shows a keen interest in high-end fine wine sales & marketing and in expanding this knowledge.Has desire to contribute ideas and energy to a very entrepreneurial and valuable business unit, both in present and future.Physical requirements:Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.Lifting and carrying: this role may involve lifting and carrying product samples, promotional materials, or demonstration equipment up to 50 lbs.*The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
