About the position.
The Procurement Coordinator is responsible for managing the entire procurement process, ensuring timely and accurate ordering, purchasing, tracking, and delivery. This role requires strong organizational skills and attention to detail to manage supplier relationships, monitor inventory levels, and support the design & decoration team in delivering high-quality projects. The ideal candidate will work closely with design teams, vendors, and logistics partners to ensure smooth procurement operations.
Key Responsibilities
- Coordinate the purchasing of items, furniture, and materials based on project specifications and design team requests.
- Prepare and issue purchase orders, ensuring all necessary information is included and accurate.
- Source products, compare pricing, and negotiate terms with suppliers to ensure cost-effective procurement while maintaining quality standards.
- Collaborate with designers to confirm specifications, materials, and any custom orders.
- Establish and maintain relationships with vendors, suppliers, and manufacturers to ensure timely and reliable deliveries.
- Manage supplier contracts, ensuring compliance with terms and conditions, and track performance.
- Resolve any issues with orders, such as delays, damaged goods, or quality concerns, to keep projects on schedule.
- Monitor inventory levels of decoration items and track all orders from placement to delivery.
- Maintain detailed records of purchase orders, receipts, delivery schedules, and inventory levels.
- Provide regular updates to the design and project management teams on the status of orders and deliveries.
- Coordinate with logistics partners and shipping companies to ensure timely and safe delivery of decoration items.
- Oversee transportation logistics for large or custom items, ensuring compliance with delivery requirements.
- Manage the receipt, inspection, and storage of decoration items as they arrive, verifying quality and quantity against purchase orders.
- Monitor procurement costs and ensure purchases are within the allocated budget for each project.
- Assist in preparing cost estimates for decoration items and provide input for project budget planning.
- Track and reconcile invoices from suppliers and vendors, ensuring timely payment.
- Provide regular status updates to the design team, project managers, and stakeholders on procurement activities.
- Communicate any changes, delays, or issues with orders to ensure transparency and prompt resolution.
- Assist in maintaining procurement reports, budgets, and tracking systems to monitor overall project progress.
Qualifications
- Bachelor's degree in procurement, supply chain management, business administration, or related field.
- 2+ years of experience in procurement, purchasing, or supply chain management, preferably in the interior design or decoration industry.
Skills
- Strong organizational and time management skills, with the ability to manage multiple tasks and priorities simultaneously.
- Excellent communication and negotiation skills, with experience managing vendor relationships.
- Proficiency in Microsoft Office Suite, purchasing software, and inventory management systems.
- Detail-oriented and proactive in problem-solving and issue resolution.
- Knowledge of decoration and interior design materials is a plus.
