TITLE: Production Assistant
The Production Assistant / Sample Coordinator will oversee all aspects of sample management, including organizing, tracking, and distributing samples in the office and to external teams. This role will ensure that all samples are well-maintained, stored properly, and shipped to vendors or in a timely manner. In addition to sample organization, this role will assist with supporting the production teams needs and ensure smooth communication between technical design, PR, & merchandising teams.
Key Responsibilities:
Sample Coordination Duties (Primary Focus):
- Sample Organization: Maintain a highly organized sample storage system in the office.
- Receive, Steam, Hang - Ensuring all samples are logged, easy to locate, and properly labeled. Regularly audit the sample inventory to ensure it is up to date. TOPs to be logged into Launch Metrics.
- Sample Distribution: Manage the distribution and shipment of samples to vendors & internal teams. Ensure that samples are sent out in a timely manner and track their delivery to confirm receipt.
- Sample Tracking: Keep PD/Production Team resources up to date using the Sample Tracker & WIP.
- Sample Communication: Act as the main point of contact for sample-related inquiries, coordinating with vendors, design, and production teams to ensure smooth communication and timely deliveries. Communicating daily to cross-functional teams on samples received.
- PR Pass Off: Conduct PR pass off seasonally before launch to Ecom/PR Team.
- Photoshoot Prep: Manage all recut, fast track, and new style TOP ETAs in order to plan for upcoming photoshoots.
- Archive Samples: Process of archiving samples to the warehouse. Samples are logged into LaunchMetrics, a report is generated, and reviewed before brought to the warehouse
- Coordinate Local Pickups: For samples at domestic factories
Production Assistant Duties (Secondary Focus):
- Production System Support: Assist with data entry system updates.
- Weekly Netsuite ex-factory updates, cost updates, and data cleaning to ensure all system are up-to-date for reporting.
- Create body codes in WFX for all styles
- Add all new items to WFX library for HTS codes, new colors, etc that need to be added for Netsuite push
- Product Review Doc: Create & maintain the seasonal Product Review doc. Add all sample stage images for visual development history.
- Generate UPCs: Download UPCs in Netsuite and release to vendors.
- Seasonal Fabric Swatches: Request & prepare all 6x6 fabric swatches from vendors to be used for all line edit & sample meetings
QUALIFICATION REQUIREMENTS:
- Bachelors Degree or Fashion School Degree.
- 1 year experience in a fashion-related industry a plus
- Knowledge of Excel and PLM experience preferred.
- Strong communication skills.
